Customer Service Specialist Position Summary:

The Customer Service Specialist will performs all necessary duties relating to customer service and inside sales.

Qualifications required:

  • Minimum three years' experience in manufacturing and/or customer service setting.
  • Bilingual – Must be able to speak and write fluent Spanish
  • Highly developed sense of integrity and commitment to customer service and customer satisfaction.
  • Business experience in order entry and purchasing within an ERP system with ability to understand cumulative order balances – IFS experience a plus.
  • Accurate data entry, an ability to work in a fast pace detailed oriented environment.
  • Excel/Word proficiency.
  • Ability to communicate clearly and professionally, both verbally and in writing.
  • Strong organizational skills.
  • Business math and writing.
  • Well-presented, polite and tactful.
  • Strong work ethic and team player mentality.
 
Position Requirements

Essential functions and responsibilities of the Customer Service Specialist:

  • Perform contract review on Direct Buy sales order to ensure they are in line with the terms and conditions of the quotation.
  • Enter sales orders accurately into an IFS ERP system in line with the customer’s demand allocation, maintaining cumulative balances, adjustments to orders for creating shipments, edits for re-promises using the correct functionality in IFS.
  • Automatically issue purchase orders with a direct link to sales orders in IFS.
  • Process customer orders for cylinders and overseas shipments using the direct delivery process.
  • Receive the direct buy shipment into the IFS ERP system, and prepare the delivery charges for invoicing.
  • Issue packing slips and BOL to the customer when product is shipped.
  • Maintaining customers on time delivery data.
  • Issue open order reports, communicate changes and enforce delivery terms and conditions.
  • Follow up on expected delivery dates and other potential issues and communicate them to the management team, customer service, purchasing and the customers, when appropriate.
  • Report expiration dates to customers as they relate to inventory in stock.
  • Performs assigned system maintenance to ERP system as well as other various electronic files.
  • Must Follow All Company Policies and Procedures

 

Non-essential skills and experience:
•Microsoft Project, Power Point, Visio
•All other duties as required.

This is a non-exempt position; the Customer Service Specialist will earn time and a half during overtime hours worked.
