Summary
Senior-level position responsible for planning, organizing, assigning, and directing a variety of support services to ASDM departments, including but not limited to: human resources, volunteer/internship programs, risk management, safety and security programs and activities, maintenance, custodial services, and mailroom operations and activities by performing the following duties personally or through department managers/staff.

Essential Duties and Responsibilities include the following. Other duties may be assigned.

  • Implements the vision of the organization, develops long range and annual goals, evaluates and regularly reports progress towards goals.
  • Participates in formulating and administering policies, protocols and standards.
  • Oversees preparation of annual budget for each department managed. Analyzes financial statements and establishes controls to safeguard funds. Reviews income and costs relative to goals; takes corrective action as necessary.

Human Resources (Staff and Volunteers/Interns)
Manage and oversee the human resource function for the Museum including:

  • Recruitment, hiring, and onboarding
  • Compensation & benefit administration, outsourcing and oversight
  • Staff development
  • Regulatory oversight and legal compliance
  • Staff relations, recognition and engagement
  • Labor relations and union contract negotiations
  • Management practices, policies and procedures
  • HRIS
  • Staff Health & Safety – Workers’ Compensation – Drug Free Workplace
  • Wellness Program
  • Working with the Volunteer/Internship Program Coordinator, ensure that all aspects of the day-to-day operations of ASDM's non-docent volunteer and internship programs are met.
  • Ensuring that the human resource function is properly resourced

Operational Support Services

  • Oversee risk management, ADA facility compliance, liquor liability and business insurance procurement, monitoring and management.
  • Office management: oversee administrative functions (reception area, incoming and outgoing mail) and develop and monitor departmental budget.
  • Maintenance: working with the Maintenance Manager, ensure that all aspects of ASDM’s maintenance services are met.
  • Safety & Security: working with the Safety & Security Manager, ensure that all aspects of ASDM's safety and emergency programs are met
  • Property Custodial Operations: working with the Custodial Services Manager, ensure that all aspects of day-to-day custodial services are met.

Supervisory Responsibilities

Manages four subordinate managers who supervise approximately forty employees in Human Resources, Volunteer & Internship Programs, Custodial Services, Maintenance, and Safety & Security. Is responsible for the overall direction, coordination, and evaluation of these departments. Also directly supervises one non-supervisory employee. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

Education and/or Experience

  • Bachelor's degree (B. A.) from four-year college or university in a related field and six years of increasingly responsible related experience, preferably in an organization providing services at a gated attraction (zoo, conservation institution or botanical garden) business.
  • Five (5) or more years of successful staff management experience, operations, and financial management
  • Effective problem solving and mediation skills.
  • Demonstrated ability to foster a positive culture, share skills and knowledge with others.
  • Excellent written communication skills.
  • Excellent organizational and communication skills.
  • Articulate, organized and well-spoken.
  • Excellent public speaking skills.
  • Ability to represent the organization and to maintain professionalism in various situations.

Other Skills, Knowledge, and Abilities

Knowledge of principles and practices of business management; effective supervision and performance management; negotiating and contract administration; laws and regulations as they apply to the organization and operation of programs; human resources; OSHA/ADOSH/workers' compensation administration and regulations; support service management including custodial, maintenance, safety/security and risk management/business insurance administration.

Ability to plan, organize, delegate, and prioritize work; develop, interpret, and apply policy; establish, modify, and adjust broad goals and priorities; provide clear and effective direction to staff; interpret and apply applicable laws, rules, and policies; communicate effectively orally and in writing; establish and maintain effective working relationships with staff, vendors, insurance agencies, and general public.

A background in both union and union-free environments is preferred.

Language Skills

Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

Mathematical Skills

Ability to work with mathematical concepts such as probability and statistical inference, and fundamentals of plane and solid geometry and trigonometry. Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.

Reasoning Ability

Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.

Computer Skills

To perform this position successfully, an individual should have knowledge of database, human resource systems, internet, project management, spreadsheet, word processing software.
