Project Coordinator

Swanson Rink is looking for a Project Coordinator to assists Project Managers and Project Engineers with the day-to-day activities associated with the management of projects. Our Project Coordinator will be an enthusiastic, hand’s on contributor. This position requires a well-rounded team member who can balance multiple priorities and tasks.

Essential Job Responsibilities

  1. Sets up the Project Drive and reviews for accuracy and archiving.
  2. Coordinates with Accounting for project set up, client expense policy, project progress reporting and project monthly billing.
  3. Administers project Sharefile or other project related team sharing sites.
  4. Takes and distributes meeting minutes.
  5. Processes subconsultant agreements, publishes meeting agendas or other tasks as assigned.
  6. Assists with document for signatures and other general support.
  7. Coordinates with BIM Coordinators.
  8. Assists with the processing of incoming information from project team members.
  9. Assists with Change Order management.
  10. Assists with Open Issue (technical and administrative) tracking and remediation
  11. Assists in compiling project deliverable information, issuing to team members, tracking of deliverables and providing “day-of-deliverable” support.
  12. Reviews RFI/Submittal Logs and provides remediation for overdue items.
  13. Performs audits of Project drive to ensure compliance with company standards.
  14. Assists with forecasting of project resource requirements.
  15. Coordinates report development and editing.

Other Job Responsibilities

  1. Processes documentation for corporate licenses and engineering registrations in all 50 states.
  2. Tracks engineering licenses and ensures compliance with continuing education requirements for professional staff.
  3. Maintains certificate of insurance requests for projects including oversight of subconsultant insurance.
  4. Maintains a list of employees who have been issued Security badges.
  5. Provides back-up support to Reception as needed.
  6. May assist other departments such as Marketing or Accounting as required.
  7. Maintains orderly and neat appearance in storage and reproduction areas.
  8. Acts and communicates in a positive and friendly manner in order to get along with clients, customers, co-workers and management.
  9. Maintains a superior level of service to our employees and clients.

Position Requirements

Job Qualifications

Bachelor’s Degree, and minimum of two years of related work experience in architectural, engineering or construction project management support.

  • Must be able to work independently on assignments, following through to completion in an accurate and timely manner.
  • Ability to perform basic office duties including word processing, purchasing, and alpha-numeric filing, file set-up and maintenance.
  • Proficiency using standard business software applications such as MS Word, Excel, Outlook and PDF creation software and be able to accurately enter and maintain data in software applications.
  • Ability to communicate clearly and effectively; to express ideas; to share information; both orally and in writing.
  • Ability to adhere to processes and procedures and make recommendations for process improvement or assist in implementing new processes or procedures.
  • Ability to lift boxes, obtaining assistance as required.
  • Must maintain safe driving record and valid Colorado Driver's License for occasional deliveries or pick-ups.
  • Must be able to pass background checks and maintain security clearances as required by certain clients such as the TSA.
  • Ability to positively contribute to the dynamic Swanson Rink team environment.
  • Ability to multi-task and to handle frequent interruptions.
  • Must be authorized to work in the U.S.

Physical Demands

The employee may occasionally lift and/or move up to 25 pounds, obtaining assistance as needed. Specific vision abilities required by this job include close vision. The employee is regularly required to sit and use hands to finger or handle. The employee is frequently required to reach with hands and arms and talk or hear. The employee is occasionally required to stand; walk; climb or balance and stoop or kneel.
