HR & Office Coordinator (Part-time)

Your Opportunity

We are actively looking for an HR & Office Coordinator (part-time/appx. 20 hours per week). This person will handle the day-to-day functions within the Human Resources department as well as the facility/administrative functions for the overall agency. This individual will have consistent interaction with employees and external vendors while performing the following functions under the direction of the Human Resources Manager.

What You'll Be Doing


  • Schedules phone screenings and candidate interviews
  • Conducts background screenings through designated third-party vendor, professional reference checks, and verifications of employment to ensure all potential new hires meet the requirements for employment status
  • Ensures all job postings and resume submissions are organized and filed appropriately for record retention

New Hire Orientation

  • Conducts new hire orientation
  • Compiles and collects new hire paperwork; ensures all documentation is completed, accurate, and in compliance


  • Processes semi-monthly payroll
  • Ensures all back-up documentation supports the appropriate payroll and necessary photocopies are made to support applicable employee files
  • Prepare and electronically submits semi-monthly 401(k) file


  • Processes all enrollments and qualifying events by working with third party consultant
  • Ensures all forms are completed accurately by employees
  • Audits monthly invoices
  • Assists Human Resources Manager with annual open enrollment meetings and process

Additional HR Functions

  • Maintains department and employee files and ensures compliance in accordance with state and federal regulations
  • Responds to employee requests and questions as needed; directs employees to the Human Resources Manager regarding higher level needs

Facilities/Office Administration

  • Screens and directs incoming calls and visitors
  • Sorts daily mail/packages
  • Order/restocks office and kitchen items (supplies, food, etc.)
  • Prepares workstations for new hires
  • Places catering orders for employee events and meetings

Assumes additional responsibilities as required

Position Requirements

What We're Looking For

  • Bachelor’s degree from a four year college or university
  • 2-5 years related experience, specifically in Human Resources
  • Must be proficient in Microsoft Word and Excel
  • Maintains the highest level of confidentiality
  • Must be organized and pay close attention to detail
  • Must be able to execute multiple projects simultaneously
