Definition and Purpose

Under the direct supervision of the Assistant Director - Recreational Sports, the Coordinator - Recreational Sports is responsible for all aspects of the Intramural Sports program, Pro Shop operations, and Informal Recreation program for ASI Recreational Sports and at the Cal Poly Recreation Center. The Coordinator-Recreational Sports works directly with professional and student staff to best serve Cal Poly students and the campus community members. Certain non-specialized Coordinator duties and assignments are fluid and are periodically reviewed and revised based on program philosophy, professional development, and staff needs.

Additionally, all ASI employees are responsible for upholding the core values of the organization including but not limited to exhibiting professional behavior, acting as a role model to others, displaying a positive and cooperative attitude, communicating effectively, developing expert knowledge in area of specialization, and working together as a team.

Education Requirements and Qualifying Experiences

Educational/License/Credential Requirements

  • Graduation from a four-year college or university (8 years applicable experience may be substituted for educational requirement).
  • Current American Red Cross certification in the following: Adult CPR, AED, and First Aid.
  • Must hold a CA driver's license with a driving record acceptable to our insurance underwriters.

Experience Requirements

  • Minimum three (3) years experience, five (5) years preferred that demonstrates the ability to perform the essential functions of the job.
  • Minimum two (2) years broad based customer service experience.
  • Experience coordinating recreation programs for students, preferably in intramural sports, informal recreation, etc.
  • Experience in budgeting and fiscal management.
  • Supervisory experience required.

Knowledge/Skill Requirements

  • Working knowledge of correct English grammar, spelling, and punctuation.
  • General knowledge of office methods, equipment, procedures, and practices.
  • Knowledge of Windows-based computer systems.
  • Ability to effectively communicate both orally and written; strong public speaking ability.
  • Ability to establish and maintain a cooperative working relationship with staff, students, faculty and others.
  • Demonstrated skills in group supervision/leadership.
  • Ability to gather and analyze complex data and situations in order to draw valid conclusions and make appropriate recommendations.

Supervisory Responsibilities

  • Directly supervise Intramural Sports Student Manager, Intramural Sports Supervisors (12), and Intramural Sports Student Officials (40-60).
  • Directly supervise Student Manager for Pro Shop Operations and Pro Shop Student Assistants (16).
  • Facilitate meetings, conduct performance evaluations, establish goals and monitor day-to-day operations.

Essential Duties and Responsibilities

Intramural Sports

  • Plan, coordinate and assess a comprehensive Intramural Sports program serving approximately 350 teams and 4000 participants quarterly.
  • Develop policy, program philosophy, and program delivery for Intramural Sports.
  • Develop an annual program/timeline for the Intramural Sports program.
  • Request facilities and develop quarterly Intramural Sports facility use schedules.
  • Respond directly to participant/customer concerns and problems.
  • Manage conflict regarding participant/customer concerns.
  • Serve as information source for the program.
  • Serve as a liaison with Intramural Sports program user groups and work with ASI Marketing to conduct outreach to campus user groups.
  • Serve as liaison to ASI Board of Directors, Residence Halls, IFC, Pan-Hellenic, and student clubs.
  • Utilize program software and website to implement and maintain schedules and tournaments
  • Organize, schedule and lead weekly Intramural Sports Supervisor meetings.
  • Assist in the development and delivery of the IM Managers' and Team Orientation presentation.
  • Provide assistance and support for IM Officials Training Clinics.
  • Provide ongoing evaluation, feedback, and assessment of Intramural Sports programs and staff.
  • Evaluate and assess frequency of use and quality of service.

Safety and Risk Management

  • Develop, implement, and maintain systems to ensure safe conditions, operating procedures and equipment for staff/participants for on-campus recreational facilities for intramural games and tournaments.
  • Ensure proper safety/risk management guidelines are being followed by Intramural Sports staff.
  • Facilitate quarterly safety audits of Intramural Sports programs.

Pro Shop Operations

  • Direct the planning, coordination, and assessment of Pro Shop Student Manager and Student Assistants.
  • Conduct student staff training for Pro Shop Student Assistants, to include customer service training, retail sales training, equipment check-out, class reservations and overall knowledge on programs and activities.
  • Ensure Pro Shop Student Assistant staff provides quality customer service at all times at the Recreation Center members.
  • Ensure Pro Shop Student Assistant staff provides appropriate marketing of programs and services to Recreation Center patrons.
  • Oversee the Equipment Check-Out program for members, ensuring that all equipment is in proper condition, and is inventoried daily. Includes tracking of late and lost equipment.
  • Manage the Lost and Found tracking and disposal.
  • Utilize reports from the Fusion software program to collect historical data on retail sales and equipment check-out.
  • Respond directly to participant/customer concerns and challenges.
  • Maintain all signage and information materials at the Recreation Center Pro Shop.
  • Develop a working knowledge of retail sales and equipment check-out using the Fusion Software System.
  • Train student staff to effectively manage the on-line reservations system (Group Ex classes, Racquetball Courts).
  • Monitor the Recreational Sports website specific to areas of responsibility, ensuring that all information is accurate and communicated effectively.
  • Assume fiscal responsibility for equipment needed to operate the program and inventory equipment to determine purchasing needs.

Assessment

  • Develop and execute assessment of programs and/or services for areas of responsibility including but not limited to setting and implementing goals, evaluating outcomes and ongoing enhancement.
  • Participate in the overall ASI assessment planning and goal setting.

Other Duties and Responsibilities

  • Participate in the Recreational Sports management team and coordinator team.
  • Prepare annual budget projections for all areas of responsibility.
  • Represent ASI on committees as appropriate.
  • Ensure continuous professional development.
  • The person holding this position is considered a "mandated reporter" under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in ASI policy as a condition of their employment.
