Sacred Heart Cathedral Preparatory (SHC) is a Lasallian Vincentian Catholic, co-educational college preparatory secondary school located in the heart of San Francisco, California. SHC is a San Francisco Archdiocesan High School that is cosponsored by the De La Salle Christian Brothers, District of San Francisco New Orleans and the Daughters of Charity of St. Vincent de Paul, Province of St. Elizabeth Ann Seton.

Description

SUMMARY

The Director of Facilities is responsible for oversight of building, equipment, building systems, vehicle maintenance, grounds-keeping, custodial services, project management of small-scale construction projects and campus sustainability initiatives. The Director of Facilities plans, assigns staff and resources and schedules for events both on and off campus. He/she assumes leadership for advancing Facilities in the direction established by Sacred Heart Cathedral Preparatory Strategic Plan and Master Plan, working closely with the School’s Leadership in designing and implementing capital budgets, large-scale construction projects and other strategic initiatives. The Director of Facilities plays a key administrative role in the life of the campus, providing coordination and communication with various constituents.

RELATIONSHIPS

The Director of Facilities reports to the VP for Finance and Facilities. He/she supervises all facilities personnel, including: custodial, grounds, support staff, and independent contractors hired to perform related services. The Director of Facilities works closely with outside vendors, contractors, and inspectors. The Facility Director works cooperatively with other administrators, faculty and staff.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Specific responsibilities include, but are not limited to:

  • Direct, coordinate and evaluate the program for facilities, including building, equipment and vehicle maintenance, grounds operations, custodial services, and construction project management.

  • Supervise day-to-day departmental work activities by delegating, assigning and prioritizing work flow; monitor operating standards and quality control.

  • Plan, schedule and budget accordingly for preventive maintenance tasks for all facilities, equipment and related services.

  • Ensure that all mandated inspections, filings and licenses are completed and appropriated documentation maintained.

  • Establish and promote a safe environment by performing safety audits, inspections, and by maintaining open-channels of communication.

  • Maintain compliance with state and federal OSHA requirements.

  • Work closely with the Master Calendar Team, Information Technology Team, and Security Team on event planning, campus safety and security.

  • Carry out supervisory responsibilities in accordance with the organization’s policies and applicable law.

  • In consultation with the VP for Finance and Facilities, recruit, hire, and evaluate facility personnel.

  • Plan, budget, schedule, and oversee facility modifications including cost estimates, bid sheets, layouts, critical path schedules and contracts for construction and acquisition.

  • Interface with a variety of city officials on obtaining building and occupancy permits and arranging various inspections with same.

  • Inspect construction and installation progress to ensure conformance with established specifications, code and applicable governmental regulations.

  • With a focus on customer service manage response to all facility work orders originating from building users, using established processes/systems and develops new processes as appropriate.

  • Maintain communications with county and city agencies as necessary to obtain jurisdictional approvals, permits and inspections necessary for campus compliance, and for approved implementation of capital projects and facility maintenance.

  • Create and administer portions of the operating budget directly assigned to facilities.

  • Work closely with the VP for Finance and Facilities in the planning and implementation of capital projects.

  • Address complaints and resolve problems related to facilities.

  • Remain current with industry standards relating to facilities management.

  • Represent Sacred Heart Cathedral in the external community through participation in conferences and professional organizations.

  • Oversee, plan, organize and appropriately schedule staff for events. Conduct post-event analyses to identify and make recommendations for enhancement.

  • Maintain current knowledge of rules, regulations, legislation, insurance coverage and provisions, technology, and procedures governing facilities support operations.

  • Maintain compliance with all local, state and federal requirements.

  • Perform special duties as assigned by the VP for Finance and Facilities.

EVENTS- PLANNING, SCHEDULING, STAFFING

  • SHC conducts some 500 events per year. Events range in size from a small meeting of 10-12 people to a black tie event with over 600 people in attendance. The Director of Facilities works in coordination with other departments to plan these events while paying great detail to a variety of time restrictions on set-up and tear-down. The Facilities Director will evaluate each event and account for expenses related to each event.

 
Position Requirements

EDUCATION AND EXPERIENCE
The Director of Facilities must possess at least five years of related experience, or an equivalent combination of education and experience. A bachelor’s degree in facilities management or related field, or a certificate in construction or facilities management from an accredited college or university is preferred. Preference will be given for experience working in an educational environment.

CERTIFICATES, LICENSES, REGISTRATIONS
A valid California driver’s license with satisfactory motor vehicle record is required. A General Contractor’s license is preferred. A criminal background check is required and must be successfully completed before employment can begin.

OTHER SKILLS
Given the responsibilities, specific duties, and authority vested in this position, the Director of Facilities must be able to communicate well, verbally and in writing, and possess strong analytical skills in order to manage the budget, compile statistical information, and make informed decisions. The Director must have a working knowledge of the MS Office Suite of applications and Google suite applications and be overall computer savvy at the use of a computer and computer related applications, software programs, etc. The Director must be a skillful planner, able to effectively manage multiple, complex projects at any given time. As a campus leader, in a key administrative role, effective interpersonal skills are required to manage personnel and students, solve problems, and represent The SHC in the external community. Bilingual Spanish speaker preferred.
