Description

Support the Clinic Director by providing the supervisory direction of the activities of an assigned area and to provide direct clerical and administrative support to department management. To serve as a liaison for the Clinic Director, department staff and outside individuals, while maintaining a high standard of professionalism and confidentiality, and ensuring that the departmental office daily operations are run in an efficient and effective manner.

 
Position Requirements

ESSENTIAL JOB RESPONSIBILITIES:

20% Determines work procedures and expedites work flow. Prepares summary reports on work volume, accuracy, and efficiency.

20% Determines or adjusts work procedures to meet objectives.

10% Coordinates departmental correspondence and routine personnel functions.

10% Supervises support staff, monitoring outcomes and timelines and assists in planning appropriate skill development.

20% Analyzes, resolves, or assists personnel in handling work problems.

20% Recommends or initiates personnel actions such as promotions, transfers, charges, and performance management. Manages credential requirements of licensed personnel. Adheres to internal controls established.

100% Demonstrate Exceptional customer service, in Everything you do, by placing the child, family, Veteran or client first to support our mission to "Empower people to build better lives for themselves, their families, and their communities."

ESSENTIAL QUALIFICATIONS:

EDUCATION: High school diploma or equivalent and 3-5 years related experience. Bachelor’s degree preferred.

EXPERIENCE: 3 – 5 years strong administrative/clerical experience, 5+ years preferred; 2-3 years supervisory experience preferred; 2-3 years in a customer service focused environment preferred.

ATTENDANCE: Must maintain regular and acceptable attendance at such level as is determined in the employer’s sole discretion.

LICENSES: Driver's License with clear record.

VEHICLE: Must have daily use of a vehicle without prior notice.

OTHER: Must be available and willing to travel to various locations and with such frequency as the business need dictates. Must not pose a direct threat or significant risk of substantial harm to the safety or health of himself/herself or others.

ESSENTIAL KNOWLEDGE, SKILLS, and ABILITIES:

COMMUNICATION: Ability to communicate clearly and effectively via oral or written means. Ability to present a friendly and positive demeanor to parents, school personnel, licensing, staff and the general public. Ability to make oral presentations.

COMPOSURE: Ability to remain calm and maintain self-control in the midst of difficult circumstances and emergencies. Ability to respond in a professional manner in all situations.

COMPUTER: Proficient knowledge of Word, Excel, Publisher, Access; PowerPoint a plus. 70 WPM, 98% accuracy.

DECISION MAKING: Ability to set work priorities and to evaluate and create solutions to work related problems. Ability to think analytically and evaluate the impact of decisions.

FINANCIAL: Strong math skills, 10 key by touch, proof reading skills.

ORGANIZATION: Ability to plan ahead several months to a year. Ability to keep various on-going projects organized and files maintained accurately. Above normal levels of concentration and memory required. Requires good time management practices and the ability to meet multiple deadlines.

SUPERVISION: Ability to train, evaluate and guide employees. Ability to delegate and ensure follow through. Ability to provide feedback in a respectful and constructive manner.

TECHNICAL: Knowledge of management and procedural requirements.

TRAINING REQUIREMENTS:

Orientation: 5 hours

On-the-Job: 3 – 4 months for basic competency; 1 year to experience full cycle of duties

MACHINES, TOOLS, EQUIPMENT, WORK AIDS:

Multi-line telephone, computer, ten key calculator, printers, copiers, faxes.

PHYSICAL REQUIREMENTS:

Constant – Ability to communicate with management, staff and clients over the telephone and in person.

Constant – Ability to input data into computer, make calculations, complete paperwork, produce reports.

Constant – Ability to sit for prolonged periods of time.

Occasional – Ability to move to different offices throughout the building.

Occasional – Ability to lift, stack, load, etc. up to 10 pounds.

WORKING CONDITIONS:

Indoors: Office environment; normal noise conditions.

RELATION TO OTHER JOBS:

REPORTS TO: Clinic Director

SUPERVISES: Receptionist, Data Analyst, Administrative Assistant
