Description

The Data / Billing Coordinator will assist in the creation, maintenance and dissemination of information related to program outcomes. This includes data input, data quality, and analysis of client information updated into the electronic record. Will also compile and report on key performance indicators.

ESSENTIAL JOB RESPONSIBILITIES:

50% Serve as project manager responsible for working with CVN and Electronic Health Record vendor to manage the implementation of EHR, to include completing agency-specific setup (e.g. adding staff profiles), managing end user training and coordinating all integration testing, as well as managing implementation timeline and deliverables. Serve as primary point of contact for all end users for first level support on EHR; accurately document issues and request assistance from CVN/EHR Help Desk in a timely manner. Participate in regular meetings with CVN staff regarding data compliance and EHR functionality.

20% Work closely and regularly with clinical staff to ensure accurate and timely data collection within the EHR and other data sources (e.g. Patient Experience Surveys), as well as completeness of data through all points of the patient process (referral, intake, services, discharge and post discharge). Ensure that new Clinic staff receive all necessary training on the EHR and have access to all documentation regarding EHR and other data collection processes, policies and help related materials for end users; provide refresher training to staff as needed. Proactively identify errors and inconsistencies in data and work directly with clinical staff to address inaccuracies and gaps. Create reports, graphs, tables, charts etc. that effectively presents and summarizes data.

20% Manages initial billing with identified third party insurance. Gathers client insurance information, obtains consent and request authorizations by gathering and sharing of clinical documentation

10% Other duties assigned as appropriate for the position and skill level of incumbent.

Position Requirements

ESSENTIAL QUALIFICATIONS:

EDUCATION: Bachelor’s degree related to information management, data analysis, and statistics.

EXPERIENCE:

  • Experience with managing data, data analysis or data quality assurance

  • Experience with health data systems preferred, experience with behavioral health systems a plus

  • Strong proficiency with Microsoft Excel

  • Extremely high attention to detail and strong organizational skills

  • Excellent written and oral communication skills

  • Strong interpersonal skills with the ability to work well with individuals across all organizational levels

  • Problem solver and self-starter who takes initiative

  • Equally comfortable working collaboratively and independently

  • Veteran, Military Spouse, or experience in the veteran community a plus

LICENSES: Driver’s License with clear record required.

VEHICLE: Must have daily use of a vehicle without prior notice. Up to 40-50% travel within county and surrounding areas.

OTHER: Must be available and willing to travel to various locations and with such frequency as the business need dictates. Must be available and willing to work nights, weekends and holidays as required to meet business needs. Must not pose a direct threat or significant risk of substantial harm to the safety or health of himself/herself or others.

EXCEPTIONS TO THESE CRITERIA MUST BE APPROVED BY THE DEPARTMENT HEAD.

ESSENTIAL KNOWLEDGE, SKILLS, and ABILITIES:

COMMUNICATION: Ability to communicate clearly and effectively via oral or written means. Ability to present a friendly and positive demeanor to families, staff, personnel, funders, and the general public. Ability to make oral presentations to large and small groups.

COMPOSURE: Ability to remain calm and maintain self-control in the midst of difficult circumstances and emergencies. Ability to respond in a professional manner in all situations.

COMPUTER: Working knowledge of Outlook, Word and Excel; PowerPoint and Access a plus. 45 WPM, 90% accuracy.

DECISION MAKING: Ability to think analytically and evaluate the impact of recommendations. Ability to set work priorities and to evaluate and create solutions to work related problems.

SUPERVISION: Ability to train, evaluate and guide employees. Ability to delegate and ensure follow through. Ability to provide feedback in a respectful and constructive manner.

TRAINING REQUIREMENTS:

Orientation: 5 hours

On the Job: 6 months for basic competency

MACHINES, TOOLS, EQUIPMENT, WORK AIDS:

Multi-line telephone, computer, ten key calculator, printers, copiers, faxes.

PHYSICAL REQUIREMENTS:

Constant – Ability to communicate with veterans, their family members, staff and community/support services personnel to determine needs and actions to be taken.

Frequent – Ability to record information, input data into computer, complete paperwork, produce reports.

Frequent – Ability to drive safely and recognize hazards.

Occasional – Ability to lift, stack, load and move up to 25 pounds from varied heights.

WORKING CONDITIONS:
