Serve as Program Assistant within the OPTIC team with primary responsibility for effectively executing administrative tasks for the fund development team.


  • Provide daily administrative support, including but not limited to, phone and voicemail handling, processing gifts and acknowledgement letters, invoices and pledges, handling purchase orders, and providing calendar management support for the OPTIC team.
  • Support and coordinate special events and meetings, both on-site and electronic, including logistics; provide full administrative event support; and, prepare and disseminate agenda materials and meeting minutes.
  • Maintain the confidentiality of sensitive correspondence and meetings.
  • Coordinate production of, proof, and process fund development brochures, web copy, letters, plans, mailings and other materials produced by and for the OPTIC team.
  • Undertake written correspondences, fundraising appeals, and news articles for the OPTIC team.
  • Organize and keep OPTIC databases and files in working order by adding new materials, updating old materials, and culling outdated information.
  • Work with OPTIC team members to create, update, and refresh digital content.
  • Maintain the donor relations and prospect management processes for the OPTIC Philanthropy initiatives.
  • Provide other special and ongoing project support for the OPTIC team as assigned.
  • Participate as part of the Administrative Support Network for communal support across the ministries as necessary.
  • Perform other duties as assigned.
Position Requirements

MINIMUM QUALIFICATIONS: The requirements listed below are representative of the knowledge, skills and/or abilities required to perform successfully in this position.

  • High School Diploma or equivalent plus a minimum of 3-5 years of general administrative assistant experience; Associates degree preferred.
  • Experience in office administration with willingness to take appropriate initiative for the effective operation of the office.
  • General executive assistant experience and training; knowledge of office procedures and management.
  • Excellent written and verbal communication skills.
  • Demonstrated capacities to be a self-starter, able to prioritize work and to perform work with minimum supervision.
  • Ability to edit and proofread materials.
  • High degree of computer competence including knowledge of the current versions of Word, Excel, and related donor or relationship management software.
  • Strong understanding of the need for confidentiality and discretion, and a demonstrated capacity for managerial and human relation skills.
  • Desire to be a team player who can create and maintain a thriving team environment.
  • Desire and sensitivity to work in a diverse racial, ethnic, cultural, and religious setting with a commitment to pluralism in the workplace as well as in one’s understanding of mission
  • Knowledge and appreciation of the United Church of Christ polity, structure and its mission.
