Description

PURPOSE:
Support Adult Outpatient Services by managing complex projects and supporting Audlt Outpatient Program Director in managing day to day work.

RESPONSIBILITIES AND DUTIES:

  • Provide comprehensive support and assistance to the Adult Outpatient Services Director and staff to facilitate the timely and successful implementation of projects and other tasks.
  • Develop and implement project management tools that facilitate clarity and communication regarding tasks, timelines and accountabilities.
  • Assist with and support varied organizational, clinical and administrative activities.
  • Facilitate comprehensive internal communications that support the necessary coordination of program related activities.
  • Provide secretarial support for the AOP leadership, including typing forms, letters, correspondence and memos, managing and maintaining files, copying, and route or post information appropriately.
  • Track and run appropriate weekly/monthly reports and distribute to clinicians/supervisors as appropriate, or make available to staff as needed.
  • Operate and coordinate the computer and information management systems for the program.
  • Maintain basic knowledge of medical records, IS and their forms in order to answer staff questions.
  • Monitor unit staff schedules and meetings and serve as liaison with other support services staff.
  • Answer telephone calls including performing the following: (1) Triage and coordinate communication between leadership (2) get answers to questions for clients, families, and other community entities and agencies; (3) work with callers to relieve urgent situations and to temporarily manage or deescalate them until other staff are available; (4) decide when and how quickly to refer calls to other staff; (5) assess and report clinical behaviors and information that seem out of the ordinary for that particular client
 
Position Requirements

Excellent organizational skills with demonstrated ability to manage and execute complex projects on time and on budget. Experience organizing set priorities, developing work schedules, monitoring progress toward goals, and tracking details/data/activities. Proven experience in people management, delegation, and conflict management. Effective communication skills and ability to speak, listen and write in a clear, thorough and timely manner. Ability to foster teamwork, work cooperatively and effectively with others to set goals, resolve problems, and make decisions that enhance organizational effectiveness. Demonstrated critical thinking and problem solving skills including the ability to assess situations to determine the importance, urgency, risks, and make clear decisions which are timely and benefit the organization. Bachelor’s degree in psychology, social services, or a related field required; Masters preferred. Solid computer skills and proficiency with MS Office applications.
