Capstone Performance Systems, a subsidiary or Tabula Rasa Healthcare is seeking a Project Manager. The Project manager will promotes success of Capstone by serving as Manager of Capstone client and organizational projects and new service initiatives. Serves as organizational liaison between Capstone and Tabula Rasa Healthcare (TRHC) support staff, consultants, coders and auditors, Information Technology, clients, regulatory agencies and other outside parties. Conducts internal quality reviews and monitors project deadlines.

Responsibilities:

Under direction of the Director – Planning, Management and Development, Capstone Consultant(s) and
other Capstone Directors and Managers as required, position is responsible for coordinating, supporting,
maintaining, and promoting the growth of Capstone’s portfolio of consultative services, Specifically:


1. Manages new and existing Consulting Service-Line Projects (Active and Proposed)

  • Set deadlines, assign responsibilities, and monitors and summarizes progress of projects
  • Lead and direct specific project team(s) as assigned
  • Project Scheduling: schedule’s all related visits and/or communications
  • Participate in related project kick off calls internally and with outside parties/clients
  • Track, distribute, and collect, assemble and manage project resources
  • Manage and update Capstone project management and consultant tool(s)
  • Communicate and serve as primary point of contact for and liaison between all parties directly and/or indirectly impacted:
  1. sort out action items from emails and/or other correspondence; follow up as required
  2. delegate responsibilities as necessary
  3. communicate project status(s) and anticipated completion
  4. answer questions as able and/or coordinate input from appropriate internal and external resources
  • Standardize, organize and file documents including: consulting tools, templates, resources, work products, etc.
  • Conduct quality review of reports and other work products
  • Facilitate assigned internal and external project update/planning meetings
  1. record minutes
  2. distribute materials to meeting attendees
  3. generate tasks and next steps for initiatives
  4. Communicate with accounting department, as necessary, about billing in accordance with contracted fee schedule and project status

2. Support/Administer Client Projects, including but not limited to:

  • Pre-Applications (e.g. RFI/RFP/LOI), & Initial and Expansion Applications
  1. monitor progress
  2. ensure deadlines are met
  • Contribute to completion of projects, including but not limited to:
  1. Feasibility Study and Business Plan: creates proposed implementation timeline, researches and creates narrative regarding state specific home and community based service waiver options, participates in client interview and develops narrative for strategic alignment/mission compatibility sections
  2. Pre-Applications: dependent on specification/request of issuing state agency
  3. Application: oversight of regulatory processes changes, researches state specific processes and ensures inclusion in application policies and procedures
  4. Medicare Part D Application: preparation of application documents for upload into HPMS, initial part d bid upload
  • Review final work products for client distribution
  • Answers questions and provides support as necessary

3. Support and/or Provide Client Consulting Projects, which may include:

  • Collaborating with and oversight from Consultant(s)
  • Mock Audits (e.g. for state readiness review and CMS annual audits, etc.)
  1. Schedule and run kick-off call/develop agenda with key leadership and consulting team to ensure clear understanding of needs and expectations for audit.
  2. Provide a detailed listing of information for review in advance- includes but not limited to, chart review, appeal, grievance and service request logs.
  3. Conduct onsite evaluation of all components covered during the state-readiness review and/or CMS annual audits.
  4. Propose interventions to mitigate or reduce vulnerability in areas of concern.
  5. Schedule exit interview with key staff upon completion.
  6. Provide a written report outlining each area reviewed with specific findings and recommendations
  7. Discuss organization’s strengths, areas for improvement, and tools that will address opportunities for improvement
  8. Send and/or present written report to leadership and other key stakeholders as defined by the client.
  • Feasibility Study and Business Plan Presentation
  1. Present PowerPoint presentation of the Feasibility Study/Business Plan to key staff and/or Board of Directors in person or via go-to-meeting
  2. Provide overview of demographic findings and financial feasibility/sustainability for

o Presentations

  1. Present to key staff and/or Board of Directors in person or via go-to meeting
  2. Provide overview of what is, how it works, why it works, etc.
  3. Provide information on State and Federal Application Process (requirements, clocks, RAI, submission process, etc.) and basics on Development Process.

 
Position Requirements

Education:

Required:

  • Associates Degree in Business or related disciplines

Preferred:

  • Bachelors in BusinessAdministration/Healthcare Administration

Experience:

Required:

  • 3+ years in healthcare organization/role
  • Demonstrated project management skills

Preferred:

  • Experience or Working knowledge of CMS and State payment models and Managed Care
  • Experience working in or with a PACE organization
  • PMP Certified

Specific Skills:

Required:

  • Strong analytical skills and judgment.
  • Strong technical skills, computer software skills
  • Skilled in use of a wide-range of office software, including email, spreadsheets and databases, payroll, accounting, ordering, and HR systems
  • Exceptional communication skills with all organizational levels.
