Administrative Intake Support Staff, Full-time Days and Evenings

Position Summary:

This position provides intake phone triage, customer reception, registration, external courtesy communication and completes admission in accordance with patient needs. The Administrative Intake Support Staff must demonstrate excellent customer service and have enthusiasm about the program and the Pine Rest organization. This is a full-time opportunity working in a resource capacity providing support to our Contact Center and candidates must be flexible to work day and evening shifts as well as every other weekend.

Principal Duties and Responsibilities:

  • Professionally and calmly handles crisis calls to determine appropriate next steps in the assessment process.
  • Completes phone triage intake for all HBS admission referrals.
  • Reviews/monitors/collects program data, providing evaluation to enhance data.
  • Works effectively and collaboratively in a multi-disciplinary team to insure excellent patient experience.
  • Performs related office duties such as patient registration, insurance verification and courtesy phone calls.
  • Able to manage and implement emergency procedures for the entire organization.
  • Responsible in managing switchboard operations for the entire organization, directing customers to the requested persons.
  • Responsible to orient patient to assessment process and complete admission paperwork.
  • Consults and communicates with other HBS staff and other organization departments.
  • Demonstrates up-to-date knowledge of current rules, regulations, policies and procedures related to programs.
  • Brings known or suspected non-routine problems and issues to manager.
  • Participates in routine problem solving. Decisions made at this level affect individuals and programs.
  • Provides Outpatient services after-hours answering service.
  • Participates regularly in departmental and staff meetings. Serves on programs or organizational committees as required and as time and workload allow.
  • May train other staff in program specific work as requested
  • Responsible to role model the mission and values of the organization, presenting a professional image that is projected in appearance, attitudes and behaviors, time management and communication skills. Provides spiritual, emotional, social, mental and physical support to patients.
  • Commitment to demonstrating Relationship Based Care in Hospital Based Services.
  • Must maintain annual training and demonstrate competency in the required programmatic training.
  • Performs other duties or functions as assigned.
Position Requirements

Required/Desired Qualifications:

Education, Training, and Experience:

  • Associate’s Degree or equivalent knowledge, skills, experience and abilities required.
  • Bachelor’s Degree preferred.

  • Ability to provide cultural competent care with a wide range of individuals in a diverse community setting.
  • Interpersonal relationship skills necessary in order to relate to a wide variety of internal and external contacts including patients and families, multi-disciplinary treatment team members, other hospital employees, and a variety of individuals in the social sphere of the patient under treatment.
  • Verbal communication skills which enable the worker to convey clear, thorough, necessary and timely information to individuals, family, colleagues, supervisory and management personnel.
  • Must be proficient working with various computer software.
  • Analytical skills necessary in order to collect, analyze and interpret complex patient data, to determine importance of information collected, and form inferences and/or forecasts on how to utilize data.
About the Organization Pine Rest is a nonprofit, free standing, behavioral health system founded in 1910 in Grand Rapids, Michigan. This comprehensive behavioral health center, coupled with the Pine Rest network of 18 outpatient clinics and satellite offices in Michigan and Iowa, provide individualized and group therapy for people of all ages and all levels of need. Pine Rest clinicians offer therapeutic services in behavioral health for people of all ages and all levels of need across the continuum of care within a Christian framework.

Pine Rest has a 198-bed inpatient hospital program with a 36-bed child and adolescent inpatient and a large partial hospital program for adolescents. Additionally, Pine Rest has many inpatient services for adults, including: four 22-bed adult inpatient units each designed for a different level of acuity, a 22-bed co-occurring substance use disorder adult inpatient unit, a large adult partial hospital program, and a 26-bed older adult inpatient unit.

The Pine Rest Community and Residential Services Division also provides a wide array of services. With over 220 residential beds across a variety of programs, including treatment for substance use disorders, homes for adults with intellectual and developmental disorders, adults with mental illness, and a program for youth aged 11-18 with extensive trauma histories focusing on trauma treatment and life skills programming.

The Pine Rest Behavioral Health Solutions Division partners with behavioral health and medical organizations to increase access to psychiatry services and to provide a continuum of behavioral health and telepsychiatry services throughout many communities across the State of Michigan.
