GENERAL SUMMARY (What is done and why)

The Administrative Assistant position is primarily responsible for day-to-day functions, including secretarial/clerical work, welcoming and assisting customers, answering and routing incoming calls, scanning loan and new account documents, assisting EVP in personnel reporting and administration, coding/paying accounts payable, loan administration, and back up to new accounts representatives. This position provides limited opportunities to exercise independent discretion and judgment. Work is varied in nature. Incumbent applies general knowledge of bank products and services, basic knowledge of accounting, personnel administration, and clerical skills to work performed. Works under general supervision and in compliance with established policies, procedures, and regulations.

ESSENTIAL FUNCTIONS (Majority of duties, but not meant to be all inclusive nor prevent other duties from being assigned as necessary)

Functional:

  • Performs clerical/secretarial work, greets and assists customers.Answers incoming telephone calls and responds to inquiries or routes caller to appropriate personnel.

  • Accurately scans documents to appropriate categories in imaging system

  • Assists with loan closings and fundings and loan advance requests

  • Provide loan applications to customers and review for accuracy and completeness when returned, and obtain credit reports in preparation for loan officer review of application

  • Request appropriate documentation from borrowers, attorneys, lenders, appraisers etc.

  • Set up and maintain credit files

  • Clear up loan exceptions

  • Work past due loans to secure payment

  • Process loan payments and handle routine loan inquiries

  • Assists customers in opening new accounts, issuing safe deposit boxes, issuing debit cards, check orders, and provide access to customers to their safe deposit boxes

  • Provides routine clerical support to department personnel by operating a variety of office machines (e.g., personal computer, scanner, printer, photocopier, fax, calculator, etc.).

  • Uses standard software programs in one or more of the following applications:

    • Word Processing – Sets up, prepares and edits standard material including letters, reports, memos, etc. from dictation, longhand or rough copy. May draft routine correspondence for officer approvals.

    • Spreadsheets – Inputs and updates data in established and formatted files, generates recurrent reports or consolidates information from various reports or sources to create a new report or summary of information.

  • Communicates with people inside and outside the corporation to exchange information and/or provide customer service.

  • Compiles data and performs moderate mathematical calculations and basic accounting functions such as preparing reports and accounting entries or balancing accounts.

  • Establishes and updates departmental files and records such as accounts payable files and personnel files.

  • Is cross-trained in other areas within the branch in order to provide back-up for other staff members.

  • Other duties as required

 
Position Requirements

KNOWLEDGE, SKILLS & ABILITIES (Minimum education, experience, technical and communication skill levels and licenses/certificates normally required to perform the duties of this position.)

  • Moderate math and basic accounting skills.

  • Demonstrated ability to apply proper grammar, spelling, punctuation and format to typed material.

  • Accurate keyboard skills at 40-50 wpm and 10-key by touch.

  • Moderate PC skills including word processing and spreadsheet applications.

  • Working knowledge of standard office equipment (copier, fax, scanners, etc.) and general office procedures.

  • Moderate written, oral, and interpersonal skills with ability to provide information and courteous responses to semi-technical requests.

  • General consumer compliance knowledge-lending & operational.

  • General knowledge in Human Resources administration and reporting.

  • General knowledge of new accounts and/or loan administration processes.

  • Working knowledge of an automated accounts payable system.

This level of knowledge is normally acquired through completion of a high school diploma, or equivalent, and 3+ years banking experience in one or more of the related areas: new accounts, loan administration, accounts payable and/ or Human Resources administration.

WORKING CONDITIONS (Typical working conditions associated with this type of work and environmental hazards, if any, that may be encountered in performing the duties of this position.)

Internal – Work is normally performed in climate controlled office environment, where exposure to conditions of extreme heat/cold, poor ventilation, fumes and gases is very limited. Noise level is moderate and includes sounds of normal office equipment (computers, telephones, etc.). No known environmental hazards are encountered in normal performance of job duties. Work may involve potential exposure to dangerous criminal activity.

External – N/A

PHYSICAL DEMANDS (The physical effort generally associated with this position)

Work involves standing and walking for brief periods of time, but most duties are performed from a seated position. Work may include occasional pushing, pulling, or carrying objects weighing up to 20 pounds such as files, documents, and computer printouts. Work normally requires finger dexterity and eye-hand coordination to operate computer keyboard at a moderate skill level.

WORKING RELATIONSHIPS/CONTACTS (Positions, other than supervisor and immediate co-workers, with which incumbent has frequent contact and the reason for contact.)

Internal – Extensive contact with employees throughout the corporation to gather, clarify and exchange information of a semi-technical nature.

External – Frequent personal and phone contact with current and potential customers and employees of other companies or agencies to gather, clarify and exchange information of a semi-technical nature.

Supervision of Others – N/A

ACCOUNTABILITY (Budget/asset amount managed, revenues/profits produced, and/or other financial resource incumbent is accountable for. Also, indicates judgement/decision making level.)This position is responsible for the effective assistant of Branch or Corporate officers, and for achieving individual production goals.
