Certified Nurses Assistant (CNA) - Outpatient Clinic

The individual in this CNA position plans, implements and completes assigned administrative and clinical projects in an outpatient clinic setting. They performs duties including composing sensitive correspondences, proof reading and editing materials for accuracy and gathers patient data including taking vitals during the beginning of a patient visit. The CNA may also perform general office duties including but not limited to the following tasks: word processing, photocopies, files, shreds, sorts/distributes mail, provides reception and telephone services. The CNA will maintain department specific files that may be sensitive in nature and will provide clinical support to medical staff, including but not limited to: prescription refills, taking vital signs, and recording medical history.

Principal Duties and Responsibilities:

  • Offers or delegates administrative support including but not limited to the following tasks: greeting, answering questions based on knowledge, scanning and copying, letters of correspondence, monitoring psychiatry staff schedules (i.e. referral scheduling, maintaining of cancellation list and coordinating model of care appointments), and front desk duties (i.e. check in/out of patients, answering and triaging patient phone calls, and opening/closing responsibilities).
  • Enters person's served data as needed.
  • Check vitals on all incoming psychiatry person's served.
  • Prepare medication refill requests (within 24 hours of receiving). Verify pharmacy information, last visit, last fill, insurance, pick up or mail etc.
  • Monitor requested lab orders per Program guidelines.
  • Manage sample medications. Weekly verification of supply and check for expiration dates. Dispose of any expired medication per Program guidelines.
  • Manage psychiatric Alternate Alerts. Prepare any refill requests sent directly from the pharmacy.
  • May handle high-level information for internal and external customers.
  • Responsible to create a customer-friendly environment and provide a high level of customer service to all persons' served and their families.
  • Support and promote a recovery focused environment and person-centered approach within the program.
  • Must maintain annual training and demonstrate competency in the required programmatic training.
  • Performs other duties or functions as assigned.

Position Requirements

Education, Training, and Experience for a Medical Assistant:

  • High School diploma or GED is required, a 2 or 4 year college degree is preferred.
  • Position requires the individual to hold a Certified Nurses Assistant (CNA) certification or be a registered or certified Medical Assistant (MA). Ongoing CEU credit requirements must be met yearly to maintain certification.
  • LPN Certification may be considered.
  • A minimum of three (3) years of progressively responsible support services work is preferred preferred.

  • Ability to provide cultural competent care with a wide range of individuals in a diverse community setting.
  • A high level of decision-making in order to find solutions to technical problems, to explain & enforce procedures.
  • Excellent communication skills are needed due to frequent exposure to internal and external customers.
  • Strong organizational and detail skills are required to prioritize variety of job tasks and functions.
  • Proficiency of electronic systems is required to perform tasks using data and/or ability to learn system with ease.
  • Flexible schedule to work both day and evening is preferred.
  • Analytical skills necessary in order to collect, analyze and interpret complex patient data, to determine importance of information collected and the ability provide this data to providers and other team members as necessary.
  • The candidate may be required to have a valid Michigan driver’s license and ability access to access Pine Rest Transportation Vehicles for the performance of job duties.
About the Organization Pine Rest is a nonprofit, free standing, behavioral health system founded in 1910 in Grand Rapids, Michigan. This comprehensive behavioral health center, coupled with the Pine Rest network of 18 outpatient clinics and satellite offices in Michigan and Iowa, provide individualized and group therapy for people of all ages and all levels of need. Pine Rest clinicians offer therapeutic services in behavioral health for people of all ages and all levels of need across the continuum of care within a Christian framework.

Pine Rest has a 198-bed inpatient hospital program with a 36-bed child and adolescent inpatient and a large partial hospital program for adolescents. Additionally, Pine Rest has many inpatient services for adults, including: four 22-bed adult inpatient units each designed for a different level of acuity, a 22-bed co-occurring substance use disorder adult inpatient unit, a large adult partial hospital program, and a 26-bed older adult inpatient unit.

The Pine Rest Community and Residential Services Division also provides a wide array of services. With over 220 residential beds across a variety of programs, including treatment for substance use disorders, homes for adults with intellectual and developmental disorders, adults with mental illness, and a program for youth aged 11-18 with extensive trauma histories focusing on trauma treatment and life skills programming.

The Pine Rest Behavioral Health Solutions Division partners with behavioral health and medical organizations to increase access to psychiatry services and to provide a continuum of behavioral health and telepsychiatry services throughout many communities across the State of Michigan.
