Description

The Payroll and Accounts Payable Clerk is responsible for accurately compiling, recording and transmitting time & attendance and payroll data essential to paying our employees. The position is also responsible for recording payments from customers, ensuring that sales invoices are accurate before mailing and assisting with accounts payable. The essential functions are:

  • Compile payroll data such as garnishments, vacation time, insurance and 401(k) deductions.
  • Correspond with various agencies concerning employee garnishments.
  • Interact with employees concerning their pay, tax witholdings and benefits.
  • Poll electronic time clocks and review the downloaded information for completeness and accuracy.
  • Contact division administrative coordinators for any missed times and discrepancies.
  • Process weekly, semi-monthly and off-cycle payrolls and transmit to Payroll and 401(k) providers.
  • Prepare payroll general journal entries.
  • Reconcile payroll and payroll tax liabilities to general ledger.
  • Review monthly group insurance bills for accuracy.
  • Compile internal management reports from payroll system software.
  • Apply customer payments and research and resolve customer payment discrepancies, adjusting accounts as needed.
  • Prepare daily bank deposits.
  • Review daily sales invoices for possible issues.
  • Enter group insurance invoices and certain other monthly invoices into the accounts payable system.
  • Other projects and responsibilities may be added at managements' discretion.
 
Position Requirements
  • High school diploma or equivalent.
  • At least three years experience in payroll processing.
  • Understanding of payroll laws and regulations in various states (CA, AZ, OR and WA).
  • Basic understanding of the Human Resources function.
  • Proficient in verbal communication.
  • Ethical conduct.
  • Good time management skills.
  • Basic understanding of Microsoft Office (Outlook, Excel and Word).
  • Good computer/technical skills - ability to learn new software.
  • Punctual and reliable attendance.
