Description

Koniag Information Security Services is hiring an Executive Office Manager. This is a direct, full time position with our company, working at our customer’s site in Arlington, VA. Must have a current/active Secret clearance and be clearable to a Top Secret/SSBI clearance.

The Executive Office Manager provides substantive support to a member of the DoD Senior Executive Service (SES) and leads the contract support staff. The support is commensurate with support provided by a Chief of Staff and to some extent by a Military Executive Officer. The support covers everything from administrative to being an executive idea sounding board to coordinating the actions of the other staff members. Because of the nature of the required duties, this position requires an individual with a background, education, and/or experience in in the area of DoD Business Systems Acquisition and a thorough understanding of the Office of the Secretary of Defense (OSD) environment.

Responsibilities:

Specific duties include:

  • Coordinates actions across the Senior Executive’s staff.
  • Provide the Senior Executive with timely analysis and reporting on substantive issues.
  • Drafts correspondence on behalf of the Senior Executive for review and approval
  • On behalf of Senior Executive, coordinates communication, including calls, responding to email and interfacing with stakeholders, or their staffs, at all levels
  • Prepares internal and external documents and correspondence
  • Responsible for managing all staff actions for the office, and servers as one of the the organizations primary user of CATMS (OSD action tracking and management software).
  • Increases efficiency and effectiveness of Senior Executive by reading, researching, and routing correspondence; by prioritizing information and obligations; by drafting letters and documents; by collecting and analyzing information; and by initiating communications for the executive
  • Acts as the point of contact between the Senior Executive and internal/external stakeholders
  • Plan and prioritize actions in the absence of the Senior Executive.
  • Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion often with deadline pressure
  • Assists in maintenance of Senior Executive’s schedule by prioritizing, planning and scheduling meetings, conferences, teleconferences, and travel.
  • Manages correspondence processes for the Senior Executive’s office
  • Responsible for quality of correspondence provided to the Senior Executive’s review
 
Position Requirements

Required Qualifications:

  • Bachelors’ degree in a relevant field
  • Experience as an executive officer to a Military Flag Officer or member of the Senior Executive Service is highly desired. Experience as a Chief of Staff in an OSD level organization is a desired alternative. At a minimum the candidate is required to proses the qualities and skills commensurate with said experiences.
  • Ability to uphold a strict level of discretion and confidentiality
  • Highly motivated professional and capable of managing demanding workload while prioritizing and managing competing priorities
  • Demonstrates excellent communication skills, a high level of integrity, critical thinking, and leadership courage.
  • Sets and maintains a professional example at all times
  • Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities
  • Ability to use CATMS to manage, update, and track staff actions
  • Ability to take a conceptual discussion and build a presentation to convey the message
  • Advanced MS Word and PowerPoint skills; proficient Excel and Outlook application skills
  • Experience with researching DoD Acquisition and related topics
  • Ability to organize and manage large amounts of data, files, tasks, schedules, and information
  • Ability to work independently on projects, from conception to completion
  • Understanding of the Defense Acquisition System (specifically DoDI 5000.75) highly desired
  • Understanding of the PPBE process highly desired

Working Environment & Conditions

This position is primarily indoors, consistent with a standard office position and has a noise level of mostly low to moderate. The incumbent is required to stand; walk; sit; use hands to finger, handle, or feel objects, tools, or controls; reach with hands and arms; talk and hear. The work load may require the incumbent to sit for extended periods of time. The incumbent must be able to read, do simple math calculations and withstand moderate amounts of stress. The incumbent must occasionally lift and/or move up to 25 lbs. Specific vision abilities required by the job include close vision, distance vision, color vision, depth perception, and the ability to adjust focus.
