Administrative Assistant 


Job Summary

The Administrative Assistant provides general office support with a variety of clerical activities and related tasks. The Admin will be responsible for greeting customers, answering incoming calls, directing calls to appropriate employees, mail distribution, flow of correspondence, requisition of supplies, and other clerical duties. In addition to communication coordination, the Admin will perform marketing tasks and social media management for the Co-op. They will also support the administrative office by backing up accounting duties as needed.

The Admin must embrace and exhibit the Mountain View Co-op (MVC) culture of customer service.

Distinguishing Class Features

This position is responsible for answering inquiries and obtaining information from the general public, customers, visitors, and other interested parties. Provide information regarding activities conducted at establishment; location of departments, offices, and employees within organization.

This position will ensure compliance with MVC’s policies and procedures.

Essential Job Duties and Responsibilities

  • Professionally answers and routes all incoming calls
  • Greet guests in a professional, friendly manner, and directs them accordingly
  • Type memos, correspondence, reports, and other documents
  • Perform a variety of clerical duties
  • Manage company social media platforms
  • Marketing for the company
  • Take and retrieve messages
  • Provides callers with information such as company address, directions to the company location, company fax numbers, company website, and other related information
  • Receives, sorts, and forwards incoming mail
  • Coordinates the pick-up and delivery of express mail services (FedEx, UPS, etc.)
  • Assists in the ordering, receiving, stocking, and distribution of office supplies
  • Assist with other related clerical duties such as photocopying, faxing, filing and collating
  • Respond to requests for information
  • File and maintain records
  • File daily invoices, deposit slips, and hand entered logs
  • Enter payments from prepared daily bank deposit
  • Run and apply credit cards daily
  • Balance appropriate or assigned banks codes
  • Assist accounting department with any accounting tasks, special projects, year-end tasks and/or as requested
  • Creates and maintains a high-performance environment characterized by positive interactions and strong team orientation
  • Maintain a positive customer service experience
  • Practices and encourages work place safety
  • Other duties that may be assigned

  • Drive to locations year-round within the Great Falls area

Reporting Relationships

Reports to the CFO.

Position Requirements

Minimum Qualifications


  • High School diploma or GED
  • Two (2) years administrative experience


  • Valid Driver’s License issued by the State of Montana.

  • Work is most generally performed in an office environment
  • Travel in and outside the County to attend meetings etc. in all weather conditions
  • The noise level in the work environment varies from low to moderately loud
