PURPOSE, OBJECTIVES, FUNCTIONS:

The Specialist, Medical Affairs will support operational excellence across kaléo’s Medical Affairs organization by managing and coordinating activities essential to the timely execution and tracking of projects. The Specialist, Medical Affairs will partner with Medical Affairs and Pharmacovigilance leadership to lead processes related to copy clearance, supplier management, training, grants and product safety reporting.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

Primary Functions:

  • Lead Medical educational materials and publications through kaléo’s internal review processes and partner with Medical Affairs team to develop, edit and update materials as appropriate

  • Procure supplier services to execute Medical Affairs projects as required through request-for-proposals

  • Serve as a liaison between Medical Affairs and Key Thought Leaders (KTLs)/suppliers to establish legal agreements, compile Sunshine Act documentation, submit travel/expense reimbursement and reconcile payment for services

  • Ensure kaléo Medical Affairs and kaléo Medical Affairs supplier compliance with applicable kaléo policies, standard operating procedures, work instructions, training programs and government regulations

  • Serve as the Learning Management System (LMS) administrator for Medical Affairs and Pharmacovigilance to manage internal/external learners, training content and system reports

  • Manage educational and research grant requests including coordination of Committee meetings, communication of Committee decision to requestors, assemblage and archival of required documentation for grant processing and reconciliation of budget

  • Coordinate internal and external meetings including (but not limited to) team meetings and KTL engagement events (e.g. advisory boards, educational programs)

  • Support the Pharmacovigilance team by tracking, reporting and/or managing medical information request escalations and safety data reports

Other responsibilities

  • Track contracts, invoices, and payments and ensure timely processing

  • Manage and execute appropriate Medical Affairs projects

Position Requirements
  • Minimum of a Bachelor’s degree with 5+ years of relevant pharmaceutical industry experience.
  • Highly effective verbal & written communication skills

  • Demonstrated knowledge and experience with strategic sourcing practices

  • Experience in successfully coordinating across several complex functions to ensure comprehensive and consistent planning

  • Excellent communication and time management skills

  • Strong business judgment and acumen

  • Analytical and problem solving skills

  • Ability to perform under pressure and deadlines

  • Experience managing project budgets and work plans

  • Strong collaborative ability and dedication to kaléo accomplishment

Additional Experience and Competencies:

  • Experience as a super user of learning management systems

  • Experience using Veeva for promotional committee review

  • Experience leading projects that involve cross-functional teams

  • Computer software proficiency including Microsoft office (PowerPoint, Excel, Word, LMS software systems)
