Accounting/Office Assistant

Our staff includes specialists in airport systems engineering (baggage handling, passenger boarding bridges, fueling and deicing), as well as fire protection, telecommunications, security and project management.

Swanson Rink is looking for an Accounting/Office Assistant to provide administrative support to Accounting and other departments. This position requires a well-rounded team member who can balance multiple priorities and tasks.

Essential Job Responsibilities

  1. Processes weekly accounts payable and expense reports, performs data entry in the project management/accounting software, and processes company employee payroll twice-monthly utilizing Paychex Preview software. Also responsible for office organization duties including scanning and filing of client documents and maintaining records based on retention policies, providing assistance and back-up to other Accounting staff as needed and cross training with other accounting personnel. The primary cross training function will be (but is not limited to) processing accounts receivable invoices

  2. Provides front desk coverage including answering phones, greeting visitors, receiving packages (approximately 50% of time) while performing the following duties; maintaining corporate document filings, processing certificates of insurance requests, assisting with detailed travel plans and itineraries for employees, assisting with updating and maintaining corporate intranet site and help manage informational postings, coordinating maintenance requests and other office needs with building management or outside vendors, ordering office supplies including stationary and business cards, assisting in the coordination of company events, and ordering refreshments/catering for company/client meetings and events. Also responsible for distributing mail and other deliveries and, on ocassion, may perform pick up or drop off duties.

  3. Assists with administrative tasks associated with recruiting such as posting on-line job advertisements, scheduling phone screens and interviews, initiating pre-employment screening processes and maintaining records as required by the Company’s Affirmative Action Plan. Assists with compiling new hire paperwork for the on-boarding process.

Job Qualifications

Minimum of 2 years’ experience performing administrative duties such as accounting, payroll and data entry.

  • Must have excellent time management skills, including the ability to multi-task and to handle frequent interruptions

  • Must be able to maintain strict confidentiality

  • Proficient in use of word processing software, Excel, and various accounting software

  • Must have the ability to communicate clearly and effectively

  • Must have a “can-do” attitude toward taking on new challenges

  • Must have the ability to work overtime when needed

  • Ability to lift boxes, obtaining assistance as required

  • Must maintain safe driving record and valid Colorado Driver's License for occasional deliveries or pick-ups

  • Must be authorized to work in the U.S.

    Physical Demands

    The employee may occasionally lift and/or move up to 25 pounds, obtaining assistance as needed. Specific vision abilities required by this job include close vision. The employee is regularly required to sit and use hands to type, finger or handle. The employee is frequently required to reach with hands and arms and talk or hear. The employee is occasionally required to stand; walk; climb or balance and stoop or kneel.
