Description

Directs the daily and strategic operations of the Events Team throughout all campuses and community based events. Oversees strategy, logistic planning and execution of events for the organization. Manages event operations budgets; ensured expenses are well managed and revenue goals are achieved. Ownership of internal and external communications to ensure critical path requirements are met. Motivates creative people in a hectic environment while maintaining customer service excellence and overall event success. Creates cross campus utilization of assets and labor while delivering an incredible guest experience.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  1. Manages all staffing and operations of OV campus based events (multi-site organization).
  2. Develops and implements overall vision of signature events, such as HallOVeen, Magical Forest and all other annual and campus based events.
  3. Project management of events; liaisons with all internal stakeholders including but not limited to: Resource Development, Sales, Facilities, Culinary, Finance, HR/Volunteer Services, Purchasing, etc.
  4. Leads, coaches and develops event staff. Provide ongoing feedback and guidance to direct reports on individual and team performance.
  5. Creates and steward multi-million dollar event operations budget to achieve annual revenue goals.
  6. Manages vendor relationships and external community partnerships in relations to events.
  7. Plans strategic operation and event timelines to achieve short and long term development goals.
  8. Ensures best practices for events are implemented with donor cultivation, positive community relations and brand awareness in mind.
  9. Works with event managers in developing goals, deadlines, oversight of critical paths’ and event timelines.
  10. Develops and refines event management procedures that will ensure timeliness of event planning, implementation and execution.
  11. Ensures a robust market analysis is completed on competitors for proper forecasting of attendance and revenue objectives for each event.
  12. Attend fundraising events and provide on-site support.
  13. Monitor progress of registration and ticket sales for Magical Forest and other signature events.
  14. Implements an inventory control system for event resources.
  15. Collaborate with the Marketing Department to develop and implement a marketing plan for all events.
  16. Ensures timely reconciliation of event expenditures in order to ensure adherence to pre-approved events budgets and prompt payment of expenditures by and to internal and external partners.
  17. Undertakes special projects and assignments as directed.
  18. Performs other duties as assigned.

Position Requirements

SKILLS REQUIRED

  • Ability to communicate effectively with individuals, co-workers and supervisors (verbal and written).
  • Social perceptiveness to assess, understand and positively respond to other’s reactions and behaviors.
  • Commitment to customer service excellence.
  • Ability to work effectively in a dynamic environment and to manage a variety of projects simultaneously.
  • Must be goal oriented and able to meet or exceed sales and financial goals.

EDUCATION AND EXPERIENCE

  • Required: Leadership of multifaceted, broad based event operations within a theme park, retail, hospitality and/or similar events environment, with multi-million dollar annual sales.
  • Required: Ten years’ progressive experience in a managerial role.
  • Required: Proficient in Microsoft Office Suite programs.
  • Preferred: Bachelor’s Degree in Business, Hospitality, Operations or related field or equivalent.
  • Preferred: Experience in fundraising, nonprofit or related area.
  • Preferred: Previous experience working with individuals with disabilities.

  • Ability to tolerate stress.
  • Ability to conduct tasks and successfully perform under critical deadlines.
  • Manual dexterity to operate office equipment and examine documents, records and files.
