Position Summary:

Support the Human Resources department by assisting a variety of duties related to the day-to-day functions of the department, with a heavy emphasis on payroll. Duties include, but are not be limited to, payroll, benefits billing, developing and maintaining tracking reports, coordinating department activities and handling other human resources related issues as directed. Must be astute and proactive in identifying and addressing current issues. Must be uncompromisingly confidential and discreet in all company and department related matters.

Essential Functions:

  • Process payroll semi-monthly. This includes maintaining and checking timesheets and data in the payroll system.
  • Maintain monthly Overtime report to give to accounting.
  • Maintain accurate attendance files for all employees. Reconcile Vacation, Sick and Other requests with timesheets and attendance records. Create monthly liability reports to give to accounting.
  • Coordinate and or process monthly billings for all employee related benefits (Medical, Dental, Vision, Life, Voluntary Life, LTD, COBRA, Mass Mutual, and AFLAC, etc.) including monthly billings, claims, enrollments, terminations, etc. Review for accuracy and resolve any discrepancies with carriers. Reconcile the benefits bills with payroll monthly to ensure accuracy of payroll deductions.
  • Maintain company training records. Help process enrollments for CE and training courses.
  • Maintain and track all COBRA participants.
  • Prepare new hire employee benefit packages and new hire HR paperwork. Prepare all termination paperwork. Participate in exit interviews as assigned.
  • Conduct new employee orientation to ensure employee gains an understanding of company policies and procedures, benefit plans and enrollment provisions.
  • Track and maintain appropriate records for all personnel activity (e.g., new hires, evaluations, training, terminations, transfers/promotions, organization charts, etc.).
  • Participate in recruitment effort for exempt and nonexempt personnel and help to coordinate the use of temporary employees, when applicable. Administer testing of candidates as assigned.
  • Process all INS related paperwork.
  • Secondary back-up for Receptionist (daily breaks and lunch, and all Vacation/Sick).
  • Take a proactive approach in enhancing the image of the human resources department by becoming a good-will ambassador who exhibits openness and willingness to listen while maintaining a supportive but neutral position.

Other Responsibilities:

  • Perform other HR and work-related duties as assigned.
  • Process requests to use the corporate loft in accordance with the established guidelines. Coordinate cleaning of the loft as needed.
  • Work closely with SVP, Human Resources in identifying other projects where skills, experience and knowledge can be utilized.
 
Position Requirements

Education, Experience and Skills Required:

  • Exceptional organization, follow-up, communication, management, leadership and interpersonal skills.
  • Possess an intuitive and proactive approach to business problems and solutions.
  • Exhibit good listening skills and a willingness to help and support others.
  • One to two years of administrative experience supporting senior level management with an emphasis on human resources.
  • Advanced skill level in PC software (Word, Excel and PowerPoint and other software, as required).
  • Ability to be flexible in work schedule as needed.
