PacArctic is hiring a full time Program Support Specialist III to work on site supporting PAC and our government customer in the Boulder, CO area.

The Program Support Specialist performs office administrative and support tasks including document preparation for budget, procurement, travel, and personnel actions. Tracks branch expenditures and project year-end budget closing using spreadsheet and other administrative tools. Should be able to perform and improve organization, tracking, documentation, budgeting, and recordkeeping tasks. Recommends solutions to problems and improved procedures to the Admin Officer. Handles unusual challenges with little oversight by the Program Manager or Admin Officer and may have overall responsibility for some programs or processes.

Functions may include:

  • Independently drafting correspondence and reports, reimbursable agreement processing, arranging conferences, acquiring services, and timekeeping.
  • Provide support to the immediate organizational unit, by carrying out and coordinating day-to-day clerical and administrative support activities within the unit, and in interaction with other units; performs such functions as timekeeping, scheduling, maintaining and controlling calendars, reviewing and controlling correspondence, arranging and processing travel, designing and organizing files, and following up on staff commitments.
  • Use hardware and software components of electronic systems to provide general clerical office support. Applies one or more of such software packages as word processing, database management, spreadsheet, desktop publishing, project management, graphics, and time and attendance; uses financial management systems to report on budget and finance matters, stores, retrieves, manipulates, transfers, and prints information.
  • Maintain budgeting and accounting databases to track and record budgetary expenditures and commitments; provides management with fiscal reports; reviews cost transactions and reconciles discrepancies; consults with administrative officer and agency fiscal specialists. Requires knowledge of accounting and budget procedures and policies.
Position Requirements

Knowledge, Skills & Abilities

  • Minimum of B.A./B.S. degree or applicable combination of education, training, or experience
  • Minimum 3 years subject matter experience with BS, or minimum 2 years of experience with MS; effective oral and written English communications

Working Environment & Conditions

This position is primarily indoors, consistent with a standard office position and has a noise level of mostly low to moderate. The incumbent is required to stand; walk; sit; use hands to finger, handle, or feel objects, or controls; reach with hands and arms; talk and hear. The work load may require the incumbent to stand for extended periods of time. The incumbent must occasionally lift and/or move up to 25 lbs. Specific vision abilities required by the job include close vision, distance vision, color vision, depth perception, and the ability to adjust focus. Includes travel to local, remote and out of state locations.
