Under the direction of the VP of Philanthropy the Database Analyst is responsible for utilization, oversight and advancement of the Resource Development (RD) department's database specifically in regard to donor relationship management. The incumbent is an integral member of the development team with the responsibility of identifying, researching, and analyzing prospects for major gift. Including but not limited to donor discovery, cultivation, solicitation and stewardship.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  1. Oversee the quality, integrity and accuracy of all donor information and gifts entered into the Donor Perfect database.
  2. Maintains and improves donor relations by ensuring accurate and timely handling, recording, receipting, and acknowledgement of gifts and related data in a 48 hour turnaround time.
  3. Generate customized queries, reports, lists for development activities, including lists, exports, revenue, renewal, donor information, performance analysis reports etc.
  4. Analyze and track giving with bi-monthly reports, confirming and reconciling with development team members and with the finance department.
  5. Train and support database end-users: Maintain entry standards and procedures; conduct trainings when required to support effective, optimized utilization.
  6. Develop effective dashboards to track fund and campaign performance.
  7. Liaison database integration with Finance department, including timely reconciliation, accountable for reconciliation to deposit, ACH transfers, and online payment systems. Assist with the efficiency of special events, projects and mailings in a timely manner.
  8. Responsible for coordination of database research and maintenance projects, including task lists, and special projects.
  9. Create, define, and produce accurately analyzed database queries, reports and mailing lists.
  10. Perform quality checks on the database and either update data fields or communicate required update to the appropriate teammates to make.
  11. Work with team members to meet the targeted dates defined by the Gifts Team mailing lists and special donor recognition.
  12. Maintain existing procedures, work instructions and standards that will help ensure on going data integrity.
  13. Use Fundraising best practices when defining data fields and/or standards should be changed to help ensure the integrity of the reports being generated.
  14. Analytically identify new and savvy ways to capture donor data for producing optimal results.
  15. Coordination of donor thank you phone calls, notes and touch points made by Board members, including database updates and action steps.
  16. Maintain effective methods for coordinating, documenting, tracking, and reporting of donor events and other Development team projects.
  17. Assist in projects and programs that will produce revenue in RD.
  18. Manage, document and organize archiving of RD documentation, (daily deposits, donor files, etc).
  19. Audit database record for accurate coding, maintenance of constituent records and data integration; responsible for global changes, creating and mapping required fields.
  20. Proactively identify and implement database modifications to support accurate recording and reporting; participate in systems analysis of donor database and related software.
  21. Review current systems and lead efforts to improve work flow and overall support to fundraising efforts as OV grows its number and complexity of gifts pledged and received.
  22. Assumes primary responsibility for portfolio and prospect needs of Development staff in support of achieving department's fundraising goals.
  23. Using prospect development software, the Database Analyst will identify, qualify and prepare donor profiles to support fundraising efforts.
  24. Performs other duties as assigned.
 
Position Requirements

SKILLS REQUIRED

  • Self-starter, ability to identify problems and propose solutions.
  • Strong critical-thinking, communication and training skills; customer service-focus.
  • Ability to multitask, prioritize, and work independently and as part of a team, in a deadline-driven environment
  • Demonstrated proficiency with data and financial information, strong ability to create reports and spreadsheets using database.
  • Excellent interpersonal and customer service skills. Strong organizational skills with attention to detail and accuracy are
  • Experience managing system upgrades, data organization and transition.
  • Familiarity with fundraising best practices of a nonprofit organization.
  • Work in a fast-paced environment with analytical pedigree, exhibits high levels of flexibility
  • High level of computer skills with experience in: CRM (Customer Relations Manager) and/or donor databases, Great Plains, advanced Excel and tables, Word, Power Point and10-Key.
  • Ability to read, analyze and interpret written information along with verbal presentation skills to other team members.
  • Ability to communicate effectively with individuals, co-workers and supervisors (verbal and written).
  • Must possess social perceptiveness to assess and understand other’s reactions and behaviors.
  • Ability to interpret instructions, gain knowledge and have initiative.
  • Must encompass professional demeanor.
  • Ability to respond to common inquiries or complaints from customers, regulatory agencies or vendors of the business community.
  • Ability to effectively present information to top management.
  • Ability to calculate figures and amounts such as discounts, interest, commissions, proportions and percentages.
  • Ability to define problems, collect data, establish facts and draw valid conclusions.

EDUCATION AND EXPERIENCE

  • Required: Bachelor’s degree in Business, Accounting, Finance, Hospitality, or related field.
  • Required: Two – five years’ experience with database management.
  • Required: Two – five years’ experience in a donor centric role in a nonprofit setting.
  • Preferred: Experience working with individuals with intellectual disabilities.
