GENERAL PURPOSE OF JOB:

The Associate for Event Management, under the direction of the Director of Event and Scholarship Management team supports the work of the team in the areas of registration, venue relationships and event support in accordance with the policies outlined in the Event Management Guidelines. The Associate for Event Management will also assist in creating a culture in the national setting of the United Church of Christ that is hospitable and welcoming to staff and visitors and that fosters cooperation, collaboration and team building among the staff of the Covenanted Ministries, positively impacting the partnership of the national setting with conferences and local churches; and supports the Mission, Vision and Purpose of the United Church of Christ across all programs and ministries.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Major Events - General Synod, National Youth Event and UCC Board of Directors

  • Work with the Director to negotiate hotel contracts, including room rates, comp rooms and other contractual components.
  • Serve as the General Synod Registrar, working with the National Setting, Conferences, Groups, and Guests to provide a registration site utilizing Cvent that offers registration categories and pre-Synod events, Optional Dining Events, Youth registrants and special accommodations.
  • Utilizing Cvent capture demographics and produce reports as requested
  • Coordinate the event 'Registration Area' onsite and train and work with registration volunteers from the Local Arrangements Committee.
  • Assist in the preparation of the business coming before Synod.
  • Serve as Recorder during the UCCB General Synod Program & Planning Committee meetings.
  • Work with the Chief Recorder to ensure the accuracy and completeness of the final preparation and publication of the Minutes of the General Synod.
  • Maintain Indexes of Synod Resolutions
  • Serve as the National Youth Event Registrar, utilizing Cvent that incorporates the various components of the event.
  • Utilizing Cvent capture demographics and produce reports as requested
  • Coordinate the NYE 'Registration Area' onsite and train and work with volunteers
  • Assist the Director with university contracts and other venues for NYE

General Event Management

  • Utilizing Cvent in accordance with the policies outlined in the Event Management Guidelines, provide a registration site and reports to requesting body.
  • At the request of the Director, vet hotels, initiate and edit contracts for final review by General Counsel
  • Negotiate Food and Beverage rates in accordance with the policies outlined in the Event Management Guidelines.
  • Utilizing Cvent, provide venue RFP as outlined in Event Management Guidelines
  • At the request of the Director, conduct site inspections of prospective venues and/or locations to ensure that requirements of the group are met, taking into consideration lodging and services available, ADA accessibility, as well as cost and group budget (if provided)
  • Other duties as assigned
 
Position Requirements

MINIMUM QUALIFICATIONS: The requirements listed below are representative of the knowledge, skill, and/or ability required to satisfactorily perform the duties assigned this position.

  • Minimum four years in the field of meeting planning or hospitality environment; College Degree in Hospitality Management preferred.
  • Minimum eight years general office/administrative experience.
  • Excellent written and verbal communication and customer service skills.
  • Well organized and detail oriented, self starter and ability to prioritize work.
  • Able to maintain a professional demeanor under stressful situations.
  • Flexibility a must with a team player attitude.
  • Desire and sensitivity to working in a diverse racial, ethnic, cultural and religious setting with a commitment to diversity in the workplace as well as in one’s understanding of mission.
  • Demonstrated ability to work collaboratively and collegially as well as independently.
  • Ability to travel, sometimes for extended periods within the United States.
  • Knowledge of the United Church of Christ, its structure and organization.
