Swanson Rink is looking for a Project/Office Coordinator to provide administrative support to project teams, Marketing and Human Resources and perform general office coordination duties. Our Project/Office Coordinator will be an enthusiastic, hand's on contributor. This position requires a well-rounded team member who can balance multiple priorities and tasks.

Essential Job Responsibilities

PROJECT SUPPORT FUNCTIONS

  1. Edits technical reports to ensure clarity and consistency of style.

  2. Responsible for project archiving and retrieval using Microsoft SharePoint.

  3. Processes certificate of insurance requirements.

  4. Assist employees with travel arrangements and itineraries.

  5. Provides administrative support to the Project Management staff and Director of Operations.

  6. Tracks job site security access badges.

  7. Assist with project set up as requested (workload, Ajera, and project directory).

  8. Maintains project workload summary worksheet and CAD administration forecast.

  9. Assists in writing sub consultant agreements at the direction of Project Management staff.

  10. Assists with oversight of project milestones and deliverables for Project Management staff when needed.

OFFICE SUPPORT FUNCTIONS

  1. Maintains corporate intranet site using Microsoft SharePoint.

  2. Coordinates maintenance requests and other office needs with building management or outside vendors.

  3. Assists Human Resources with posting on-line job advertisements, scheduling interviews and handling other recruitment and on-boarding activities.

  4. Orders stationary and business cards.

  5. Orders refreshments/catering for company/client meetings and events.

  6. Distributes mail and other deliveries.

  7. Provides front desk coverage including answering phones, greeting visitors, receiving packages (approximately 25% of time). Regular duties are performed from the front desk.

    Other Job Responsibilities

  8. May make deliveries and/or pickups, including pickup and storage of supplies.

  9. May assist with planning and execution of Company events.

  10. May assist others including Marketing, Accounting, or Project Assistants as needed.

  11. Maintains organization and tidiness of storage and reproduction areas.

  12. Acts and communicates in a positive and friendly manner in order to get along with clients, customers, co-workers and management.

  13. Maintains a superior level of service to employees and clients.

Job Qualifications

Associate Degree (Bachelor Degree preferred) and minimum of three to five years of related work experience required.

Competency

  • Must be able to work independently on assignments, following through to completion in an accurate and timely manner.

  • Ability to perform basic office duties including word processing, purchasing, and alpha-numeric filing, file set-up and maintenance; minimum typing speed of 50 wpm.

  • Proficiency using standard business software applications such as MS Word, Excel, Outlook and PDF creation software and be able to accurately enter and maintain data in HR programs and other software applications.

  • Ability to communicate clearly and effectively; to express ideas; to share information; both orally and in writing.

  • Ability to adhere to processes and procedures and make recommendations for process improvement or assist in implementing new processes or procedures.

  • Ability to lift boxes, obtaining assistance as required.

  • Must maintain safe driving record and valid Colorado Driver's License for occasional deliveries or pick-ups.

  • Must be able to pass background checks and maintain security clearances as required by certain clients such as the TSA.

  • Ability to positively contribute to the dynamic Swanson Rink team environment/

  • Ability to multi-task and to handle frequent interruptions.

  • Must be authorized to work in the U.S.

    Physical Demands

    The employee may occasionally lift and/or move up to 25 pounds, obtaining assistance as needed. Specific vision abilities required by this job include close vision. The employee is regularly required to sit and use hands to finger or handle. The employee is frequently required to reach with hands and arms and talk or hear. The employee is occasionally required to stand; walk; climb or balance and stoop or kneel.
