Position AIDS Walk Boston & 5K Run Coordinator  
Full-Time/Part-Time Seasonal  

Function: Recruit, support, and steward corporate and community Walk & Run Teams and Individuals for the AIDS Walk & Run Boston; increase participation and revenues generated at the AIDS Walk & Run Boston in support of AIDS Action Committee of Massachusetts. This is a full-time seasonal position that will run from February 5, 2018 through June 15, 2018.


  1. Participate in the production of the AIDS Walk & Run Boston, specifically the successful achievement of fundraising participation goals. Coordinate “Team-raising” efforts of the Walk Staff with ongoing activities of Development Staff and other AIDS Action Committee departments.
  2. Actively recruit Teams and Individuals to participate from area businesses, non-profit organizations, educational institutions, religious groups and community groups, etc., to establish relationships with new Participants and renew and enhance professional relationships with existing Participants primarily over the phone, via email communication, and through in-person meetings and presentations.
  3. Manage Team captains and team members to organize participant recruitment and fundraising events.
  4. Manage creative and effective tools for recruitment and fundraising.
  5. Manage social media outreach for team captains, team participants, runners, and walkers.
  6. Prepare and distribute AIDS Walk & Run Boston fundraising and recruitment materials: Team Captain letters and emails, Team Captain Kit, Recruiting Tips, Fundraising Tips and Ideas, etc.
  7. Help coordinate in-kind donation program to provide prizes for Participants: send communications about raffles, competitions, and incentive prizes to encourage fundraising and participation.
  8. Design, develop and successfully deliver AIDS Walk & Run Boston presentations to corporate and community groups throughout the Boston Area.
  9. Assist in the recruitment and marketing of our 5K Run to specific populations, including running groups, sporting goods stores, gyms, local colleges and schools, etc.
  10. Act as point of contact for 5K Runners who may have questions or inquiries about the Run.
  11. Answer general inquiries about the AIDS Walk & Run Boston.
  12. Support the Manager of Fundraising Events in all pre-event preparations
  13. Actively participate in all day-of-Walk Participant and Team activities, including set-up and staffing of Registration Area.
  14. Manage outreach calendar for Development Team and actively participate in all outreach activities.
  15. Assist with simultaneous events as needed.
  16. Perform related duties and projects as assigned

Position Requirements
  • Special events, sales and/or marketing experience is preferred.
  • Excellent verbal and written communication skills.
  • Ability to work well in a team while also completing individual goals on a timely basis.
  • Capacities to perform multiple tasks with accuracy, prioritize workflow, and realize goals while meeting deadlines in a timely manner.
  • Familiarity with Microsoft Word, Excel, Outlook and Power Point software systems.
  • Experience speaking to large groups in a clear and concise manner to engage, motivate and actively work with a wide variety of individuals and audiences.
  • Capable of working under stress in a fast-paced office environment.
  • Total commitment to the success of AIDS Walk & Run Boston is expected: this campaign can require long hours with some weekend and evening hours, especially in the final weeks prior to the event. Working the weekend of the AIDS Walk & Run Boston events, is required.
  • Understand the unique mission and composition of AIDS Action and its diverse constituencies.
  • HIV/AIDS sensitivity and awareness.

Physical Requirements:
Ability to meet the following physical requirements with or without reasonable accommodations:

  • Sit at a computer station for extended periods of time
  • Ability to keyboard for extended periods of time
  • Regularly walk, stand, stoop, climb, kneel and crouch
  • Occasionally lift, carry, push and pull objects weighing up to 25 pounds independently, and rarely objects weighing up to 50 pounds with assistance
  • Moderate physical activity
