Description

Position Overview: This position has primary responsibility for selling, planning and executing a variety of both internal and external group events (corporate, weddings, tour groups, non-profits, birthday parties, etc.) to meet significant annual revenue goals. This position creates and administers a system of communication and marketing programs that must be incorporated into an operational plan of precise timelines, events, and activities in overseeing event space usage as set forth by the ASDM Strategic Plan.

Essential Duties & Responsibilities

Includes but is not limited to the following statement and subsequent categories as outlined below.

  • Provides research and recommendations for the development and execution of comprehensive marketing objectives and programs in support of ASDM strategic focus on improving the visitor experience and growing mission-aligned income.

Event Planning, Execution & Group Sales

  • With minimal supervision, is the first point of contact for all inquiries about internal and external facility use and rentals (pricing, spaces, date availability) that includes cultivating relationships, meeting potential clients, conducting on-site tours, soliciting, closing the sale, and overseeing the implementation of facility rental events to achieve annual revenue goals.
  • Preparation and execution of contracts, including signatory authority as authorized, for the related and agreed upon ASDM facility use and related services.
  • Upon successful completion of the Arizona Title 4 Basic & Management Liquor Training, and may serve as point of contact during events where alcohol is served as per regulations set forth by the State of Arizona Department of Liquor Licenses and Control.
  • Monitors competitive event products and is responsible for making budgetary and programmatic recommendations for possible courses of action to improve and/or expand programmatic offerings that increase mission-aligned income within the Marketing umbrella.
  • Researches, conceptually designs, and recommends for implementation, collateral materials, web pages and appropriate on-line advertising listings for the event sales program while ensuring consistency of messaging, and brand identity.
  • Represents ASDM at appropriate networking events, trade shows and familiarization tours with local, regional, national and international meeting planners, tour operators, hospitality industry conference sales representatives, and group-centric clubs and RV parks.
  • Interprets applicable ASDM policies and procedures as the first point of contact for the cultivation and implementation of high quality group events including the preparation of event packets and leadership of a weekly events meeting for ASDM support staff and other key event organizers to anticipate departmental staffing and logistical needs in support of the upcoming 4-6 week event calendar.
  • Develops, and maintains the ASDM Marketing Events Internship Program that includes supervison of intern(s) to expand the ability to meet programmatic goals and objectives.

General

  • Manages ASDM's space reservation process utilizing Service U software system including monitoring the program for internal space changes and training new ASDM staff on use of the software.
  • Develops and maintains event sales database, executes event contracts, and ensures accounting deposits, certificates of insurance, and payments are received.
  • Oversees distribution of discount coupons to hospitality industry database and is responsible for hotel participation in the ASDM Accommodations web page with an annual revenue goal.
  • Assists with other ASDM special projects as assigned.

Education/Experience

  • Bachelor's Degree in related field.
  • Minimum three years of related experience with an emphasis placed on those who have worked in visitor-based, non-profit, conservation settings, and/or in promotion of tourism.
  • Prior event sales experience required.

Other Skills and Abilities

  • Must be willing to work evenings, nights, weekends, and early mornings as required to oversee implementation of group sales events.
  • Must be goal oriented and possess high degree of self-motivation.
  • Excellent written and verbal communication skills including influencing skills.
  • Must possess strong planning and organization skills.
  • Flexible work style adapting to changing demands and priorities.
  • Must be able to work independently as well as in a team setting.
  • Ability to work well with internal and external clients.
  • Understanding/familiarity with non-profit, visitor-based organization.
  • Solid knowledge working knowledge of Microsoft Office Suite. Knowledge of ServiceU and Siriusware a plus.
