Description

GENERAL PURPOSE OF POSITION: Provides general administrative, program and logistical support for the work of the Director of Event and Scholarship Administration.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

General

  • Draft, edit and respond to written and digital communication for the Director of Event and Scholarship Administration as requested
  • Answer and screen phone calls for the Director, relay messages and respond to inquiries as necessary
  • Maintain monthly team calendar
  • Assemble back up documentation and prepare check requisitions, reconcile and allocate to the appropriate accounts the expenses incurred by the team, prepare for approval all expense reimbursements as directed
  • Order office supplies or resources as needed
  • Maintain the Centralized Calendar of the wider church
  • Receive, sort and deliver incoming and outgoing mail daily
  • Maintain and create databases, mailing lists, filing systems as directed
  • Schedule staff check-in’s and manage the Director’s calendar
  • Prioritize and support the administrative needs of the team
  • Schedule and assist in meetings utilizing the Zoom platform

Event Administration

  • Create and maintain data bases to support the communications and organizational needs of the Event and Scholarship Administration Team
  • Serve as recorder and participates in team planning meetings
  • Serve as the initial intake person and respond to requests for event/meeting assistance
  • Create and maintain calendar of events that the team is responsible for
  • Prepares for the Director action items resulting from team and related meetings
  • Schedule planning meetings of the core team, the national staff team and the volunteer Synod team
  • During General Synod and National Youth Event – staff, resource and manage the event office
  • Create systems to aide in the collection of participant data as needed
  • Collate and distribute event materials
  • Assists in the logistical support of local events as requested
  • Reinforce the efforts of the Director to create a culture of exemplary customer service throughout the national setting of the UCC
  • Maintain absolute confidentiality within the Event and Scholarship Administration Team
  • Maintain a full familiarity of the work of the Event and Scholarship Administration Team
  • Assume other duties as assigned
 
Position Requirements

MINIMUM QUALIFICATIONS: The requirements listed below are representative of the knowledge, skills and/or abilities required to perform successfully in this position.

  • A minimum of four years demonstrated office administration skills and project management experience including the ability to manage multiple projects simultaneously, some college preferred
  • Experience in an event and or meeting planning environment is desirable
  • Evidence of being a self-starter, able to prioritize work and perform with minimum supervision in the areas of planning, organizing, coordinating and making decisions relating to projects assigned
  • Demonstrated ability to give careful attention to details and judgement to follow-up as necessary
  • Proficiency in MS Word, Excel and Outlook
  • Ability and willingness to attend training opportunities as requested
  • Willingness to learn the Cvent registration and Smarter Select software programs
  • Excellent written and verbal communication skills
  • Well organized and detailed oriented
  • Self-starter and ability to prioritize work
  • Ability to work in a team environment and as an individual with great flexibility
  • Knowledge of the United Church of Christ a plus
  • Desire and sensitivity to work in diverse racial, ethnic, cultural and religious settings
  • Ability and willingness to travel especially for General Synod which requires a minimum of eight consecutive days out of state
