Description

Reporting directly to the Executive Director, the Executive Assistant provides streamlined support by functioning as an effective liaison between BOD, donors, employees and the Executive Team. This position will provide daily support for the Chief Operating Officer and ongoing assistance to all members of the Executive Team. This role will handle a broad variety of activities including

managing an extremely active calendar of appointments, preparing reports and presentations, conducting research and analysis, creating templates and managing agendas. The ideal candidate will be interested in report writing and analysis, preparing presentations,

  • Manage communications, calendars and presentations for BOD and all board related committee meetings.
    • Assist Board President, Committee Chairs, and ED with all board meeting agendas, minutes, proper storage of information, strategic meetings, maintaining all portal information for the Board and assists with maintaining future Board member development.

  • Assist Executive Team (VPs) with expense reports, travel arrangements, calendar coordination, meeting minutes and presentation materials.

  • Develops and processes a variety of reports, presentations and other documents.

  • Write, edit and proofreads a wide variety of documents.

  • Coordinate site visits by executives, community groups and government officials
    Assist with company visits and events

  • Provides insights and recommendations for action and/or question

  • Assists with preparation of annual budget data and materials

  • Manage administrative projects as assigned and provide qualitative and quantitative analysis of project results.

  • May provides technical expertise for various activities, including data gathering, programmatic search, etc.

  • Create and develop visual presentations.

  • Organize and maintains files and records.

  • Identify problems in operations process and resolve them in quickly and timely manner.

  • Maintain clear and accurate operations documents/procedures for reference purposes

 
Position Requirements
  • Experience: 5 – 8 years of administrative assistant/executive assistant experience.

  • Project management a plus

Skills:

  • < >

    Excellent analytical, verbal, written communication, and presentation skills.

  • Strong organizational skills.

  • Critical thinking and the ability to interact with all levels of management is essential.

  • Ability to work independently, organize and prioritize workload.

  • Ability to communicate clearly and concisely both orally and in writing.

  • Proficient with Word, Excel, Outlook and PowerPoint.

  • Self-Motivated with minimal oversight

  • Committed to the organizational mission and values.
