General Description:

The primary responsibility of the Receptionist is to answer agency phones, schedule client appointments, and provide administrative support to Nurse Practitioners, Mental Health Therapists, and clients. Must have good communication and customer services skills. Must be able to read, write, and speak Spanish fluently.


Monday - Thursday 9:00 AM to 6:00 PM

Friday 8:30 to 5:00 PM

Position Requirements

Education and/or Experience:

A minimum high school education and one to two years' related office experience and/or training, or equivalent combination of education and experience is required for this position. Must be computer proficient in a Microsoft Windows environment. Proficiency with Microsoft Word, Excel, and record keeping software preferred. Must have respectful, open, unbiased, accepting attitude toward clients and their families. Bilingual English/Spanish required.

Essential Duties and Responsibilities:

  • Answer multi-line phone system and direct calls
  • Respond to questions regarding services offered
  • Greet clients coming into the clinic, and check each into the ECR
  • Notify therapists when their client checks in late for the appointment
  • Schedule follow-up appointments
  • Collect copays and fees for private pay clients
  • Provide new clients with opening paperwork, and check documents to ensure they are complete, dated and signed
  • Enter and scan data into the ECR as directed
  • Office ordering coordination and reporting to Office Manager
  • Set up meeting rooms and video conferencing equipment
  • Train new staff on office equipment and phones
  • Check insurance coverage for clients scheduled each day
  • Manage Nurse Practitioners' schedule
  • Meaningful use tasks (Summary of Care and Medication Reconciliation)
  • Setting up new clients/medications in Dr. First
  • Collecting and recording vitals
  • Requesting records for PA and any doctor requests
  • Clean front desk, reception area and ensure waiting room is tidy
  • Open and distribute incoming mail, and take outgoing mail to drop-off site daily
  • Perform other duties as assigned

Working Conditions:

  • Vision sufficient to read client records and related documentation
  • Extended periods of time sitting at work station updating client records, and phone work
  • Requires continual mental concentration and attention to details. Extended periods of focus and attention and computer use are frequently required.
  • Mobility, including occasional lifting a maximum of 20 lbs., bending, stooping, and reaching, and dexterity sufficient to assist clients and handle required job related functions and move about the facility
  • Exposure to communicable diseases found in children and the public
  • Ability to cope with clients who may use challenging or offensive language with potential for escalation to physical aggression.

Salary Range* $12.48 to $13.68/hour DOE
