SUMMARY OF POSITION

The Quality Specialist ensures all Technical and Quality related retail customer requirements are understood and met. The incumbent in this position will report directly to the Quality Engineering Manager and will be responsible for providing technical and quality support to the Avon Technical Services Department .

Responsibilities include completion of customer program and/or customer portal/system requirements, requesting and organizing the test and analysis of new products, approved disclosure of product performance data and specifications to the customer, initiation of sample submissions, implementation of product and process improvements and the dissemination and organization of customer, supplier and product requirements.

This position will communicate heavily with Sales, Marketing, Strategic Sourcing, Manufacturing, Consumer Relations, Quality Assurance, Customers, and Supply Partners.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Customer Programs, Systems, and Test Programs

  • Handles the collection, organization, tracking, reporting, and distribution of information related to Customer Requirements including but not limited to Customer Test Programs, Customer provided Supplier Manuals, Customer audit requirements, as well as customer related procedures and process flows. The Quality Specialist will have responsibilities to disseminate Technical and Quality related Customer Program and Product Requirements to appropriate STM personnel as well as STM suppliers.

  • Research quality related contractual customer requirements related to the assigned product types. Disseminate Technical and Quality related customer requirements and quality expectations to applicable cross-functional teams. Interpret customer requirements and guidelines.

  • Ensuring compliance with all quality related customer requirements and test programs including the following:

    • Assists in the customer contract review process. Review Quality related documents including but not limited to Quality Test Program details, Customer Audits requirements, Customer specific Supplier Manuals, labeling and traceability requirements.Assists in the dissemination of quality and technical related customer requirements to the appropriate cross-functional team members. Assists in confirming the ability to meet customer requirements.

    • Reviews, files, and manages changes to Customer Quality Manuals.

    • Manage Quality related functions within the Customer Bid Process

    • Completion of customer program and system requirements, organizing the testing and analysis of new products, ensuring the approved disclosure of product performance data and information.

    • Implementation of customer quality related product processes and improvements

    • Assists in the completion of technical and quality related Customer Questionnaires.

    • Manage the ongoing evaluation, review, and submittal of test samples to customers and/or customer advised third party test labs.

    • Initiates new item test and set-up within customer portal as applicable (including verification of data, specifications, approved disclosure, sample submissions, confirmation statements. Letters of guarantee and/or required product claims or certifications.

    • Manages and organizes the internal sample submission process.

    • Obtains and/or organizes competitive data and assists in the preparation and review of customer product summaries and/or presentations.

    • Assists as needed/serves as a back-up for the submission of samples to Third Party test labs (not tied to Customer Requests).

    • Uploads internal or 3rd party product test reports into appropriate customer system/portal.

  • Assists in the management of the Customer Complaint Program, coordinating and ensuring the resolution and reporting of product quality issues and complaints by customers in a consistent and standardized manner, ensuring distribution to owners and closed loop internal and external reporting

  • Accurately maintain company and customer systems, data, records and documents in accordance with policies and procedures

  • Handles the evaluation of applicable documents related to quality, technical and customer-specific requirements, inclusive of customer-specific programs.Will also communicate with customers and sales representatives via written correspondence, the company's web site, Customer required Database population, questionnaire completion, and direct dialogue as applicable.

  • Assists in the organization and execution of Customer Retail Quality Audits.Supports retail audits for both STM facilities as well as suppliers. This includes assisting in the scheduling of the audit, notifications, preparation meetings, support during the audit if required, as well as working with the appropriate teams to ensure closure of corrective and preventive actions.

Technical, Quality and Product Support

  • Assists in the coordination of internal and third-party tests the substantiate product claims.

  • Store letters of guarantee and annual test reports in an organized manner to easily provide to customers.

  • Facilitate discussions around the need for additional testing if test results require follow-up.

  • Handles the evaluation of applicable documents related to quality, technical and customer-specific requirements, inclusive of customer-specific programs.Will also communicate with customers and sales representatives via written correspondence, the company's web site, Customer required Database population, questionnaire completion, and direct dialogue as applicable.

  • Customer related sample submission including managing incoming submission and report output. Collaborates with Technical Team regarding data interpretation and assists in the communication of results to marketing/sourcing/sales.

    Provides support to Marketing, Sales and Consumer Relations Teams by providing technical and quality information and communicating requirements, processes, and issues.

  • Assists in or serves as a back-up to verify product packaging claims through product specifications, supplier provided documentation, internal and external test coordination, and 3rd party test results.

  • Assists in or serves as a back-up for the support and audit of STM systems, Database's, and processes including but not limited to STM Specification Database support, new item set-up task completion, and product artwork reviews.

  • Generates Database reports/metrics and distributes those reports to various users in the organization, customers, or suppliers.

  • Participates in and/or leads Technical Service or quality related continuous improvement, process, and Database/system related projects as applicable.

  • Organizes, stores, tracks, and reports data and information regarding Customer Requirements, Internal and External Product Testing, and Product Specifications as applicable.

  • Identifies, evaluates, defines, and disseminates Quality related Customer-Specific requirements to cross-functional teams and products manufactured and distributed by STM.Supports strategy and plans of action to facilitate conformance.

  • Assists in the investigation of customer or 3rd party test failures. Works with the quality team to resubmit samples, present data, as well as, corrective and preventive action plans.

  • Other duties may be assigned as needed

 
Position Requirements

  • Excellent analytical and problem solving skills, including root cause analysis.

  • Education/Certification Requirements

    • BS degree in Chemistry, Natural Science, Engineering or related technical field, with a minimum of 1-2 years work experience in quality, product development, or related technical position.

  • Ability to communicate and work effectively at all levels of the organization. Ability to effectively communicate in English, both written and orally.

  • Strong project management skills.

  • Strong Computer skills in MS Office; including the ability to create process flows, procedures, advance spreadsheets, and product specifications.

  • Sound working knowledge of SAP is strongly desired including obtaining data through various reporting structures within SAP

  • Strong organization skills for work, filing, project management etc.

  • Excellent Analytical and problem solving skills, including root cause analysis.

  • The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

  • Ability to lift loads up to 40 pounds
  • Ability to sit for long periods of time in an office setting
  • Sufficient dexterity to utilize a computer at reasonable speeds
  • Ability to bend as needed to file
  • Ability to remain standing for periods of time to complete necessary filing
  • Ability to utilize PPE for periods of time spent on shop floor.
