Description

Executive Administrative Assistant

Department: Administration

FLSA Status: Non-Exempt

Job Status: Full-Time

Schedule: 9am-5pm

Reports To: Executive Director

Travel: <1%

The Executive Assistant provides confidential project and administrative support to the Executive Director, and other members of DRNY’s executive management team. The Executive Assistant is also responsible for assisting with the preparation, coordination, and confidential support to the Board and program council members.

Essential Functions

The Executive Administrative Assistant performs a wide range of duties, including the following:

  • Produce information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics;
  • Conserve executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications;
  • Assist in the preparation and distribution of confidential and other information for Board and committee meetings;
  • Assist in the coordination of meetings, materials and record management for Corporate and Board committees, as assigned;
  • Maintain Executive Director’s telephone line, appointment schedule, planning and scheduling meetings, conferences, teleconferences, and travel;
  • Welcome guests and clients, in person or on the telephone; answering or directing inquiries;
  • Prepare reports by collecting and analyzing information;
  • Ensure operation of equipment by completing preventive maintenance requirements; following manufacturer's instructions; troubleshooting malfunctions; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques;
  • Contribute to team effort by accomplishing related results as needed;
  • Other tasks as assigned.

Qualifications

  • Bachelor’s degree preferred;
  • Executive assistance experience preferred;
  • Working knowledge of Microsoft Office Suite and Adobe;
  • Experience working with or for people with disabilities preferred;
  • Ability to accurately type at 60 words per minute;
  • Strong research skills;
  • Strong communications skills;
  • Strong organizational skills;
  • Ability to work with diverse groups of individuals.

Working Conditions

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. Travel is primarily local during the business day, although some out-of-area and overnight travel may be expected when traveling to other DRNY locations in Brooklyn or Rochester.
