General Description:

The primary responsibility of the Receptionist is to answer agency phones, schedule client appointments and provide administrative support to Nurse Practitioners, Mental Health Therapists, and clients. Requires ability to relate well to the public, in person and on the phone. Applicant will be primarily covering lunch breaks for our office staff at both of our Salem locations. We will also ask you to cover scheduled and non-scheduled PTO for the office staff (i.e., vacation and sick leave). Saturday will be a regular shift. Must be able to speak, read, and write in Spanish and English. Applicant must have a flexible schedule and be able to work on Saturdays.

  • Monday - Off
  • Tuesday: 10:30 - 4:30 PM
  • Wednesday: 10:30 - 4:30 PM
  • Thursday: 10:30 - 4:30 PM
  • Friday: 10:30 - 4:30 PM
  • Saturday: 8:00 - 4:30 PM
  • Sunday: Off
Position Requirements

Education and/or Experience:

A minimum high school education and one to two years related office experience and/or training, or equivalent combination of education and experience is required for this position. Must be computer proficient in a Microsoft Windows environment. Proficiency with Microsoft Word, Excel, and record keeping software preferred. Must have respectful, open, unbiased, accepting attitude toward clients and their families. Bilingual English/Spanish preferred.

Essential Duties and Responsibilities:


  • Answer multi-line phone system and direct calls. Respond to questions regarding services offered.
  • Greet clients coming into the clinic, and check each into the ECR.Notify therapists when their client checks in late for the appointment
  • Collect copays and fees for private pay, sliding scale and DV group participants
  • Make daily reminder calls
  • Check insurance coverage for clients scheduled each day


  • Perform initial intake screening, and enter client data into the electronic client record system (ECR).
  • Provide new clients with opening paperwork, and check documents to ensure they are complete, dated and signed.Enter and scan data into the ECR as directed
  • Open authorizations for services for new clients
  • Send sliding scale clients an information letter and prepare referral sheets
  • Scan client support docs

Therapist/NP Support

  • Schedule appointments for nurse practitioner clients
  • Provide NP and sliding scale clients with information letter and prepare referral sheets for sliding scale clients
  • Send letters on behalf of clinical workers


  • Data Clean up:
    • Complete closing of OHP files in coordination with Billing Department
    • Scan docs of prospective clients who never entered services
  • Open and distribute incoming mail, and meter and take outgoing mail to drop-off site daily
  • Turn phones over to voice mail at night. Check voice mail messages daily and forward to appropriate person
  • Clean reception area
  • Perform other duties as assigned

Working Conditions:

  • Vision sufficient to read client records and related documentation
  • Extended periods of time sitting at work station updating client records, and phone work
  • Requires continual mental concentration and attention to details. Extended periods of focus and attention and computer use are frequently required.
  • Mobility, including occasional lifting a maximum of 20 lbs., bending, stooping, and reaching, and dexterity sufficient to assist clients and handle required job related functions and move about the facility
  • Exposure to communicable diseases found in children and the public
  • Ability to cope with clients who may use challenging or offensive language with potential for escalation to physical aggression.

Salary Range* $12.48 to $13.68/hour DOE
