Job Summary:

The Production Coordinator of Oral History Projects is an essential member of the team, responsible for coordinating the production of the Academy’s video recorded oral history interviews. The Coordinator reports to the Sr. Manager of Oral History Projects and supports OHP staff in all aspects of pre-production, production and post-production of approximately 25-35 oral histories per year. This includes assisting with the management of logistics, travel, crew, scheduling, and expenses for local, national and international productions, as well as administrative support for the department.

Duties and Responsibilities:

  • Produce or Co-produce video recorded oral history interviews
  • Research potential and selected interviewees, and tracking interviewee status (recommended, priority and current productions)
  • Prepare invitations and other relevant correspondence
  • Communicate with interviewees and crew to confirm project details and logistics, including finalizing call sheets
  • Support Oral Historian with research coordination, which includes communicating expectations, deliverables and managing dates for researchers and interviewers
  • Arrange travel for all staff, crew and talent
  • Working with Academy Theater Staff, vendors, and interviewees to book and confirm logistics for recording locations
  • Responsible for preparing releasing forms, which includes ensuring that requested changes are accommodated and vetted by Academy legal
  • Use internal databases to document and track biographical information, including pertinent age, health and location data
  • Assist the Sr. Manager in working with Members, Programming, Film Archive, Library, and project partners to continue to document Academy subject priorities
  • Assist Sr. Manager in maintaining production calendar
  • Coordinate post-interview communications with interviewees, including approval process, and potential acquisitions
  • Support OHP staff in documenting and communicating workflows and best practices
  • Improve and update in-house databases for communications and production information
  • Supervise any applicable Production Interns in the creation of draft call sheets and release forms
  • Assist Archivist with coordinating transcription, translation, and subtitling with outside vendors
  • Assist OHP Video Editor to ensure timely delivery of post-production deliverables
  • Assist the Sr. Manager, Archivist and curatorial staff in selecting highlights from the collection for Programming and other events
  • Coordinate creation and upload of edited master for interviewee review
  • Oversee the transcription and translation of documents and interviews, as well as subtitling workflows, working with companies, contractors and interns
  • Support the department in all administrative and accounting needs
  • Coordinate and schedule meetings with the existing and expanding network of Members, scholars, researchers, interviewers, and partners
  • Order departmental supplies and food and beverages for interview shoots (as well as craft services, as needed)

 
Position Requirements
  • Highly motivated and organized professional
  • 1-2+ years of coordinating experience in the entertainment industry or documentary production
  • A degree in film or communications or comparable professional experience in video production
  • Superior research, writing, and communication skills (both written and verbal)
  • Excellent knowledge of video recording technologies, digital file formats, codecs, and methods of delivery
  • Experience or interest in oral history methodology
  • Basic knowledge of cinema history, as well as a specific interest in the history of filmmaking
  • Detail-oriented
  • Highly flexible and collaborative
  • Strong organizational and problem solving skills with demonstrated initiative to complete projects within deadlines
  • Ability to work independently, as well as part of a team, and take creative direction
  • Available to work nights/weekends as needed

Physical Requirements:

  • Typical conditions may include prolonged sitting, standing and walking
  • Ability to work/focus at a desk for extended periods of time
  • Ability to climb stairs/ladders, bend and reach
  • Ability to lift 40+ lbs

Preferred:

  • Knowledge of oral history interviewing standards and techniques
  • Experience working with talent
  • Museum or archival background
  • Fluent in written and conversational Spanish or another language
  • Experience in coordinating multiple simultaneous video production and post-production projects
  • Proficiency working in Premiere Pro, Photoshop, Media Encoder, Final Cut Pro, and other Adobe Creative Cloud software
