Sr. Archivist, Oral History Projects

The Academy Oral History Projects Sr. Archivist is responsible for the archival management and digital archiving of the department's Visual History Program audiovisual recordings, processing incoming oral history collections from partner organizations, and overall collection management. Primary duties include: cataloging, processing, and digital preservation planning of oral history recordings, management of departmental records, and assisting with access planning, controlled vocabulary development, post-production and the planning and implementation of a digital archive of oral histories.

Duties and Responsibilities:

Archival and Cataloging

  • Process, arrange and catalog audio and video oral history collections
  • Develop and implement archival workflows and oversee the processing of collections by project archivists and/or interns
  • Process all oral history audio/video access and licensing requests and perform research into rights and permissions for interview collections
  • Assist Academy Film Archive and DMS staff in collection appraisal, acquisitions, digitization prioritization and the ingest of born-digital video into digital repository
  • Assist in the development and implementation of departmental archival policies and best practices
  • Oversee transcription, indexing, translation, interviewee approval and DVD authoring
  • Create and update records in databases (Adlib, SharePoint, Google Docs)
  • Manage controlled vocabulary development for indexing oral history content
  • Serves as project coordinator on grant-funded projects to preserve and provide access to oral history collections at the Academy
  • Assist Sr. Manager in coordinating intern and contractor projects
  • Research and document audio and video oral history and interview collections both within the Archive and at outside institutions
  • Perform collection assessments of oral history and interview materials to aid in acquisition planning and prioritization decisions
  • File management: organize raw, master, and project video and audio files for streamlined access
  • Conduct fixity checks/checksums for digital files and facilitate delivery of materials to DMS for preservation at USC
  • Assist Preservation staff - including identification and inspection of material, obtaining quotes from laboratory personnel, and overseeing quality control on elements
  • Determine best practices for cataloging and metadata, including finding aid creation

Curation and Research

  • View content and provide highlights, summaries and key terms for project planning and curation
  • When needed, assist Academy staff in researching and identifying related material from the Academy's permanent collection for subject prioritization and for museum and web presentation
  • Organize images from productions, select images for public and internal usage

Post-Production

  • Work with editors and organize post-production priorities: approvals and finalization
  • Assist with the creation of audiovisual deliverables, transcode video files, perform quality control, media traffic/shipping materials

Workflow Management and Administrative

  • Assist with outreach for the digital archive project by identifying potential partners and fostering partner relationships
  • Oversee project timelines and contractors
  • Collaborate and communicate with Academy staff and interns, archive donors, Academy members, film industry professionals, and outside organizations on collection-related activities
  • Communicate with project partners and vendors, including the craft guilds and foundations and the USC Digital Repository
  • Manage financial record, oversee payments and contract creation and validation

Physical Requirements:

  • Typical conditions may include prolonged sitting, standing and walking
  • Ability to work/focus at a desk for extended periods of time
  • Ability to lift at least 25 lbs

 
Position Requirements
  • Master’s degree in Moving Image Archival Studies or Masters of Library and Information Science with an Archives focus
  • Solid knowledge of film and video history, technology, and craft
  • Interest in working with oral history recordings, ideally motion picture related
  • Comfortable in operation of audiovisual viewing equipment and handling
  • Knowledge of legacy and digital audiovisual formats
  • Knowledge of video production/post-production practices
  • Experience in audiovisual preservation projects with both analog and digital formats
  • Familiar with controlled vocabularies and subject headings. Knowledge of standards in moving-image cataloging and the creation of finding aids including knowledge of EAD and EAC-CFP
  • Experience with cataloging systems and software (i.e. Adlib, MAVIS, InMagic, Microsoft Access, FileMaker 10, Sharepoint) and office software
  • Ability to establish and maintain cooperative working relationships with Academy staff, oral history project staff, vendors, Academy members, industry professionals, and visitors
  • Strong oral and written communication skills
  • Excellent organizational skills and attention to detail
  • Strong project planning and time management skills
  • Willingness to work overtime, under tight deadlines, ability to multi-task
  • Strong research skills

Preferred:

  • Knowledge of conversational foreign language
  • Experience in a video production environment
  • Experience with Premiere Pro, Photoshop, Media Encoder, Final Cut Pro, and other Adobe Creative Cloud software
