About the Organization KMHS is Kitsap's nonprofit, designated community mental health provider for adults with acute and/or chronic serious mental illnesses, and children with serious emotional disturbances and their families. During 2016, KMHS provided services to more than 6,800 children and adults.

Provide leadership, direct supervision to assigned clerical support staff, providing organizational and clerical support to expedite administrative functions and ensuring support staff provide the highest quality of customer service to the Inpatient Department leadership. Facilitates the work of the Inpatient Department by oversight of clerical and reception duties. Serves as liaison between the Support Services Department and the clinical staff in the unit, as well as between clinical staff, clients and the public. Facilitates the inpatient court process including, but not limited to, preparation of the court docket and filing of court paperwork. Works with the Child and Family and Adult Outpatient Support Supervisors with oversight and assistance of their teams during their absence.


  • Comply with agency policies and procedures and maintain appropriate confidentiality as per relevant RCWs and WACs.
  • Ensure consistently high quality customer service through supervision of assigned staff. Solicits input and feedback from Inpatient leadership for clerical staff process improvements.
  • Recruit, hire, train, coach and develop supervisees to include providing regular individual supervision, documenting and maintaining records of significant interactions, completing performance appraisals per agency standards and, as necessary, conducting discipline and termination.
  • Ensure efficient communication with callers, consumers, and visitors by establishing effective traffic patterns, and maintaining accurate telephone listings internally and externally. Serve as a resource, recommending and coordinating inpatient office and building enhancements as appropriate, including furniture, signs, keys, etc.
  • Facilitate court procedures including the timely filing, and distribution of ITA and LRA related paperwork such as petitions, affidavits of support, revocations and court dockets, etc.
  • Provide support for clinical staff and involved attorneys with timely and accurate communication, by taking accurate minutes of all hearings and helping to coordinate testimony and discovery.
  • Facilitate moves within 24 Hour Services and OAS including Move Instructions and Floor Plans to Facilities, phone and computer needs to IS, and ordering of furniture to Purchasing.
  • Present clients with court paperwork as required and document in ITA record.
  • Within 24 hours of court hearing check demographics and chart ITA record of all final hearings and orders and submit to IS to be sent to the SBHO.
  • Within 24 hours of court hearing scan all petitions, orders, revocations to Profiler.
  • Facilitate changes of venue between multiple counties with appropriate paperwork.
  • Report legal statistics to IS for RSN and state core data requirements.
  • Serve as backup for assigned support positions as necessary.
  • May assist with organizational support for agency-wide activities and other key events to include:
    • Schedule and facilitate meeting arrangements and preparation for KMHS All-Staff Meetings including helping with setup and arranging for appropriate refreshments, etc.
    • Work with key staff to schedule, plan and organize the agency's Summer BBQ, Winter Social event and/or other agency events as necessary.
    • Order and pick up gifts, gift certificates and awards for agency events as requested.
  • Interact with vendors, contractors, service people, possible donors, community members and others in a manner that reflects creditably upon KMHS and promotes the agency's positive public image.
  • Promote the enhancement of positive staff morale by facilitating timely response to problems and ensuring thorough and accurate internal communications.
  • Support and comply with the KMHS affirmative action program.
  • In addition to the above, any other responsibilities appropriate to the position and not specifically listed in the job description.

Position Requirements

High school diploma or GED, Associates Degree preferred and at least 3 years experience with progressively increasing responsibilities in administrative roles required. Office management or other related supervisory experience is strongly preferred. Must be proficient in the use of Microsoft Office applications as well as office equipment to include multi-line telephone systems. This position requires exceptional written and verbal communication skills (including spelling, grammar and punctuation) in addition to excellent interpersonal skills and the ability to manage time effectively. This position requires occasional work outside of traditional business hours.
