Downs Rachlin Martin PLLC is seeking to fill a clerical position in our Burlington office as part of the Environmental, Energy and Telecommunications Group. Qualified candidates will possess a knowledge of Microsoft Office, be able to learn new software quickly, work collaboratively with staff, paralegals and attorneys and have a minimum of three years clerical (or comparable) experience. Duties:

Support of Secretarial Staff

  • Photocopy and assemble documents

  • Out-of-office delivery of documents

  • Faxing of documents

  • Prepare redwelds and file folders for secretaries, type forms, prepare certified mail receipts

  • Other clerical tasks as requested by support or legal staff

Equipment

  • Postage Meter – download postage on-line to replenish dollar amount, troubleshoot when machinery fails, ensure adequate supplies on hand

  • Fax Machine – troubleshoot when machinery fails and notify service when appropriate

  • Photocopiers – troubleshoot when machinery fails and notify service when appropriate

Supplies

  • Order calendars

  • Order kitchen supplies and stock shelves

  • Order office supplies and stock shelves

  • Order phonebooks and distribute

Records Management – Active File Facilities

  • Maintain active file facilities to accommodate closing of files, expansion of existing files, addition of new client files, which includes moving and stacking of file boxes

  • Assist secretaries in preparation of files for closing

Miscellaneous

  • Distribute incoming mail and packages upon arrival and, as appropriate, distribute or complete items addressed to office clerk

  • Order, pick up and deliver lunches for committee and/or client meetings

  • Deliver deposits to local bank for firm/clients

  • Prepare daily check list for accounting

  • Arrange conference rooms prior to and after committee and/or client meetings

  • Straighten up conference rooms and replenish with supplies when necessary

  • Answer main console each day for Receptionist’s lunch break and morning and afternoon break and as needed on a regular basis

 
Position Requirements

Valid driver's license; registered vehicle with current inspection and insurance; pleasant and professional demeanor with clients, guests and other visitors, support staff and legal staff; ability to lift 30 pounds; ability to work extra hours or overtime as needed

MinimumQualifications:

Shall possess a high school diploma and a minimum of one year of experience in a clerical position

Desired Qualifications:

Proficiency in Word; experience in a law firm
