Description

PURPOSE:
Insure the continuity of Support Services by providing full time coverage for support positions throughout the agency when needed.

RESPONSIBILITIES AND DUTIES:

  • Provide continuity of care to consumers and staff by covering for reception staff, clinical records staff, department/program assistants, and switchboard operators when absent. Job assignments and work hours will change on an on-going basis.
  • Ensure positive customer relations through courteous and helpful interactions with all groups and individuals entering our buildings contacting appropriate staff following established check-in procedures. Monitor the lobby activities. Maintain awareness of consumer agitation or inappropriate behavior and respond as appropriate.
  • Answer all incoming phone lines and route calls in a professional and courteous manner. Assess client phone calls by determining urgency and client needs using tact and diplomacy in the face of potentially hostile, demanding callers. Schedule or cancel client appointments following guidelines for ensuring staff are notified. Route internal and external mail according to procedures. Open and date-stamp all incoming mail and distribute to appropriate departments following procedures.
  • Record client vitals for all clients, as appropriate, that check-in for medical provider appointments. Assist in maintaining Electronic Medical Record (EMR) by submitting record release requests, updating data in client record, and other record-keeping tasks.
  • Insure consistent records standards for confidentiality, legality, and accuracy when working in clinical records. Process correspondence and scan records. Maintain correspondence logs.
  • Provide coverage for department assistants, typing progress notes, reports, letters, memos, and forms. Balance and administer petty cash. Process referrals, and enter data as required for screenings, demographic data, financials, and outcome measures. Prepare for admissions according to department assistant procedures. Copy, assemble, process and/or deliver nursing and transfer packets, census reports, forms, charts, lab results and specimens. Complete financial agreements, including contacting insurance entities regarding client eligibility and researching Medicaid eligibility. Data entry to EMR and various programs, research and retrieve medical records for patients, filing, faxing. Prepare charts for court. Disassemble inpatient charts after discharge in a timely manner, reviewing charts for discrepancies.
  • Perform errands as necessary including pick-up/delivery of mail between campuses on an as needed basis. Assist all other clerical staff with work overloads by completing typing, scanning, filing, or telephone duties.
  • In addition to the above, any other responsibilities appropriate to the position and not specifically listed in the job description.
 
Position Requirements

MINIMUM QUALIFICATIONS:  High school diploma or GED.   A minimum of two years of office experience and one year of multi-line phone systems experience.  Accuracy in handling money. The ability to work with people courteously and professionally in person and on the phone.  Knowledge and experience in computer data entry and with using MS Word and Excel. The ability to accurately type 40 wpm is required, Must be able to maintain composure in emergency situations. Must be able to interpret written procedures, accept direction from peers and communicate clearly, both verbally and in writing. Experience in scheduling appointments preferred.  Must be able to work independently, be organized, manage time well, and work effectively with divergent types of people. Must be energetic, outgoing and flexible. Knowledge of medical terminology helpful. Possess and maintain valid driver’s license with an acceptable motor vehicle report and reliable, insured transportation.  

PHYSICAL CONSIDERATIONS:  While performing the duties of the job, the employee is required to walk, sit, use their hands and fingers to handle records, reach with hands and arms, stoop, kneel or crouch, and communicate effectively.  This position requires the employee to lift up to 25 pounds.  This position includes repetition movement of extended arm along with a range of motion from floor level to approximately 70 inches above floor level. Close vision and the ability to adjust focus are also required for the position.
