Collection Information Coordinator 

Description

The Collection Information Coordinator will report to the Head of Registration and Collections Management. This position will plan, coordinate and implement all activities necessary to the effective development, maintenance and use of the database and related physical files. The ideal candidate must be highly organized, efficient, able to multi-task, and possess excellent attention to detail.

Duties and Responsibilities:

  • Manages automated collection information in an AdLib database, or other collections databases and spreadsheets as necessary, for reliable, retrievable intellectual access and evidentiary value.
  • Performs quality control of Museum digital and physical files for collections and loans in conjunction with registrars.
  • Maintains standards for records content, assuring consistency and compatibility of data.
  • Incorporates records from curatorial, registration, editorial, educational, exhibition and conservation departments into ongoing database development.
  • Oversees data entry and enters data. Reviews work of others for consistency and correctness and ensure that standards are followed. Serves as a coordinator for the data entry process including efforts of registration, conservation and curatorial staffs and assembling any relevant information regarding an artist’s or object’s history.
  • Develops reports using available software tools to create comprehensive library of forms to support various museum functions. Produces reports on an ad hoc basis in response to queries from staff, researchers, and the general public.
  • May field and fulfill external collections queries.
  • Maintains collections digital files, ensuring proper file naming protocol is used.
  • Working with the department head, compiles a cataloging standards manual and revises cataloging and/or procedural manual for data maintenance as circumstances change or needs arise.
  • As necessary, assists with other department projects which may include handling, moving, or packing objects to museum standards.
  • Attends lectures and workshops to keep current with museum best practices.
  • Other duties as assigned.
 
Position Requirements
  • Bachelor's degree in museum studies, library studies, information studies, or a related degree required. Master’s degree in related field or MLIS preferred.
  • Equivalent degree or experience will be considered. Additionally, 2+ years’ or more years of experience experience with Museum data entry preferred.
  • Strong computer skills including experience and proficiency with Museum/Library databases, word processing, and spreadsheets is required.
  • Familiarity with standard museum cataloging, registration and collections management policies and procedure is required.
  • Candidate should be knowledgeable and experienced with best handling practice and preventative care for museum objects and archival material.
  • Candidate must possess excellent oral and written communication and interpersonal skills.
  • Must be able to sit, walk, stand, climb stairs and ladders, and lift or push objects up to 30 pounds.
