Data Services Specialist 

Description

The Data Services Specialist is primarily responsible for executing data requests and tracking supporter engagement. This position is required to handle high volumes of confidential information.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Play significant role in supporting essential donor relationship management process: maintain and update relationship tracking system, enter contact reports and prepare various reports. These activities contribute to a strong donor relationship management program that will maximize donor retention, engagement and investment.
  • Meet with internal zoo stakeholders to discuss, understand and document data request requirements for donor events and communications; prioritizing and scheduling tasks; executing data queries and reports and delivering accurate, timely results.
  • Perform tasks to support database integrity and accuracy for data analysis, which include regularly running quality assurance queries, reviewing reports for missing or inaccurate information and other tasks. Work with staff to correct recurring issues and proactively develop processes to limit data quality issues. Import, organize and maintain various internal lists in the List Management system.
  • Manage email unsubscribes and data integrity in both Raiser's Edge and MailChimp.
  • Respond to requests for record updates.
  • Initiate processing and record management procedural changes as needed and continuously identify ways to increase overall efficiencies. Keep all policies and procedural documents updated.
  • Safeguard the confidentiality of donor and member information at all times. Maintain and adhere to policies around information gathering and sharing in accordance with professional ethics standards.
  • Perform other duties as assigned.

QUALIFICATIONS

  • Minimum of one (1) years of significant experience working in data processing and reporting. Proficiency in using database systems and strong computer skills using Microsoft Windows required. Experience with The Raiser's Edge preferred. Experience with Omatic Software products and MailChimp desired.
  • Proven organizational skills with the ability to manage and prioritize multiple tasks/requests simultaneously under strict time constraints, and meet deadlines in a professional manner.
  • High attention to detail and the ability to audit work for accuracy and quality.
  • Self-motivated and collaborative team player. Positive, open-minded and flexible. High degree of initiative and independent judgment.
  • Ability to handle confidential information with discretion and maintain the professional and ethical standards set forth for the field by the Association of Professional Researchers for Advancement (APRA).

EDUCATION/EXPERIENCE

Bachelor's degree (B. A. or B.S.) from an accredited four-year college or university, and one to two years related experience in development and/or training; or equivalent combination of education and experience.

CERTIFICATES, LICENSES, REGISTRATIONS

No certificates, licenses or registrations required.

COMPUTER SKILLS

Strong knowledge of database systems and excellent computer skills required. Experience with The Raiser's Edge is preferred. Experience with Omatic Software products and MailChimp desired. Solid knowledge of and experienced with Microsoft Office applications (including Word, PowerPoint and Outlook) preferred.

LANGUAGE SKILLS

Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to communicate clearly and completely both verbally and in writing, effectively present information and respond to questions from groups of managers, clients, customers, members, and the general public.

MATHEMATICAL ABILITY

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.

REASONING ABILITY

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to apply common sense understanding to carry out instructions furnished in written, oral, diagram, or schedule form. Ability to recall, recognize and communicate interrelated information pertaining to zoo benefactors and members.
