Gift Processing Specialist 

Description

The Gift Processing Specialist is responsible for donation processing, membership processing and stewardship fulfillment. This position is required to handle high volumes of confidential information.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Process all donations: daily entry, proofing, balancing, adjusting and reporting to ensure clear representation of donor intentions. Contact donors as appropriate.
  • Send acknowledgement letters and tax receipts for donations. Ensure all donors receive timely and appropriate recognition for their gifts.
  • Track outstanding pledges, produce and distribute pledge reminder letters.
  • Serve as the primary contact for matching gift programs.
  • Run daily, weekly and monthly gift detail reports to share with appropriate team members and departments.
  • Provide fulfillment and tracking of donor club benefits; maintain inventory of all benefit items.
  • Process membership transactions: daily entry, proofing, balancing, adjusting and reporting to ensure accuracy of membership details.
  • Provide quality assurance between The Raiser's Edge fundraising database and membership point of sale system.
  • Communicate with internal customers in advancement, finance and admissions to address donation or membership issues.
  • Perform tasks and generate queries to support database integrity for data analysis.
  • Process database change requests.
  • Initiate processing and record management procedural changes as needed and always look for ways to increase overall efficiencies. Keep all policies and procedural documents updated.
  • Safeguard the confidentiality of donor and member information at all times. Maintain and adhere to policies around information gathering and sharing in accordance with professional ethics standards.
  • Perform other duties as assigned.

This position has no supervisory responsibilities.

QUALIFICATIONS

  • Proficiency in using database systems and strong computer skills using Microsoft Windows required. Experience with The Raiser’s Edge preferred. Experience with Omatic Software products desired.
  • Proven organizational skills with the ability to manage and prioritize multiple tasks/requests simultaneously under strict time constraints, and meet deadlines in a professional manner.
  • High attention to detail and the ability to audit work for accuracy and quality.
  • Self-motivated and collaborative team player. Positive, open-minded and flexible. High degree of initiative and independent judgment.
  • Ability to handle confidential information with discretion and maintain the professional and ethical standards set forth for the field by the Association of Professional Researchers for Advancement (APRA).

EDUCATION/EXPERIENCE

Associate’s degree (A.A.) or equivalent from two-year college or technical school; or one year related experience and/or training; or equivalent combination of education and experience.

CERTIFICATES, LICENSES, REGISTRATIONS

No certificates, licenses or registrations required.

COMPUTER SKILLS

Strong knowledge of relational database systems and excellent computer skills required. Experience with The Raiser's Edge is preferred. Experience with Omatic Software products desired. Solid knowledge of and experienced with Microsoft Office applications (including Word, PowerPoint and Outlook) preferred.

LANGUAGE SKILLS

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write reports, business correspondence, and procedure manuals. Ability to communicate clearly and completely both verbally and in writing, effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

MATHEMATICAL ABILITY

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.

REASONING ABILITY

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to apply common sense understanding to carry out instructions furnished in written, oral, diagram, or schedule form. Ability to recall, recognize and communicate interrelated information pertaining to zoo benefactors and members.
