Administrative Support Staff - Southwest Clinic

Pine Rest's Southwest Clinic in Grandville, Michigan is now accepting applications for the role of full-time Administrative Support Staff. Under the direct supervision of the Support Staff Supervisor, the person in this role performs administrative support duties including but not limited to typing correspondence, maintaining department records, distributing mail, scheduling and the like. This person uses discretion and good judgment when screening visitors and telephone calls, making necessary grammatical or spelling changes in correspondence, and rearranging work load in order to meet deadlines. The following are general characteristics of this job classification. Specific duties and areas of responsibility for this position within each department shall be defined by the department manager or director.

Principal Duties and Responsibilities:

  • Offers administrative support including but not limited to the following tasks: greeting and directing visitors or patients, answering questions based on knowledge of department/organization, appropriately transferring and screening calls, imputing data in computer system, scanning received files and check in/out of patients. Maintains department specific files that may be sensitive in nature. Schedule internal and external referrals via phone and or walk-in. Manage clinicians wait list throughout the day and maintain their impacted appointment list.
  • Performs record-keeping duties including the following: sorts, classifies, and files semi-complex records, posts appropriate information onto data entry screens, checks and verifies moderately complex arithmetic data, performs routine computations, creates simple queries or may request reports from other data based systems that are semi complex.
  • Maintains medical records, including assisting physicians in obtaining patient records from outside sources.
  • Releases medical information as necessary and appropriate for continuing medical care, insurance purposes etc.
  • Assists patients in understanding balances on their accounts and addressing any concerns flagged on their account.
  • May assist with ordering/maintaining office supplies as requested. Is knowledgeable about details of office equipment.
  • Edits documents given from supervisor or others. Formats simple reports when given direction from supervisor. Operates dictating and word processing equipment and computer software in order to compose materials dictated by clinical personnel.
  • Balancing of daily Cash Sheet.
  • Responsible to create a customer friendly environment and provide a high level of customer service to all patients and families.
  • Must maintain annual training and demonstrate competency in the required programmatic training.
  • Performs other duties or functions as assigned.

Position Requirements

Education, Training, and Experience:

  • Position requires a minimum of one (1) year of related work experience in order to direct workflow and to effectively prioritize workload.
  • Position requires completion of high school diploma (or equivalent) and additional training related to duties above. Additional training may be required through formal education or through seminars.

  • Moderate decision making skills are needed in order to process workflow. Problems encountered are of general limited complexity, and established policies and procedures are generally available.
  • Strong organizational skills are required to prioritize a variety of job tasks and functions.
  • Proficiency of electronic systems is required perform tasks using data and/or ability to learn systems.
  • Excellent communication skills are needed due to frequent exposure to internal and external customers.

About the Organization Pine Rest is a nonprofit, free standing, behavioral health system founded in 1910 in Grand Rapids, Michigan. This comprehensive behavioral health center, coupled with the Pine Rest network of 19 outpatient clinics and satellite offices in Michigan and Iowa, provide individualized and group therapy for people of all ages and all levels of need. Pine Rest clinicians offer therapeutic services in behavioral health for people of all ages and all levels of need across the continuum of care within a Christian framework.

Pine Rest has a 200-bed inpatient hospital program with a 36-bed child and adolescent inpatient and a large partial hospital program for adolescents. Additionally, Pine Rest has many inpatient services for adults, including: a 28-bed psychiatric-medical unit in an acute care hospital, four 22-bed adult inpatient units each designed for a different level of acuity, a 22-bed co-occurring substance use disorder adult inpatient unit, a large adult partial hospital program, and a 26-bed older adult inpatient unit.

The Pine Rest Community and Residential Services Division also provides a wide array of services. With over 220 residential beds across a variety of programs, including treatment for substance use disorders, homes for adults with intellectual and developmental disorders, adults with mental illness, and a program for youth aged 11-18 with extensive trauma histories focusing on trauma treatment and life skills programming.

Other campus based services include a forensic psychiatry clinic, a psychological consultation testing center, an attention deficit disorders clinic, an autism spectrum disorders clinic, and a large neuromodulation clinic which provides TMS and ECT services.

The medical staff includes over 70 psychiatrists and other MDs/DOs, more than 120 fully licensed psychologists, more than 250 licensed masters-level social workers, and 30 PAs/NPs.
