Description

 

The Support Specialist is an administrative support professional which assists DRNY to serve individuals with disabilities. This position reports to the Intake Director.


Essential Functions

 

  • Direct callers from a multi-line telephone system, with incoming calls from people with disabilities, family members, friends, or other concerned parties;
  • Direct visitors to DRNY offices;
  • Sort and assess incoming mail for time-sensitive matters and internal delivery;
  • Use multi-function office equipment to preform copy, print, scan and fax tasks ranging from single documents to multi-part assignments;
  • Provide clerical, administrative, and organizational support to DRNY staff;
  • Schedule conference rooms and meetings;
  • Respond to office needs, including refilling paper and toner in printers and tracking supply needs;
  • Responsible for mail, faxes and scanning needs;
  • Organize and file closed client and case electronic and paper files;
  • Coordinate overall administrative activities for the office;
  • Work both independently and with small teams to complete projects with appropriate deadlines;
  • Accurately retrieve, input and track case information in the Disability Advocacy Database (DAD);
  • Maintain accurate time records and client records, including accurate use of DAD, which is necessary for DRNY to meet its programmatic and fiscal responsibilities;
  • Preform related tasks consistent with skills, abilities and general responsibilities as required to support DRNY;
  • Occasional travel throughout New York State and outside of New York State as necessary to perform assigned job tasks;
  • Drive DRNY’s accessible van;
  • Preform additional assignments as needed or directed by Intake Director.

Qualifications

  • Professional phone etiquette
  • Associates degree or 3+ years of relevant experience
  • Proficient in Microsoft Office Suite
  • Database experience preferred
  • Currently licensed Notary Public preferred but not required
  • Strong communications skills
  • Bilingual language skills preferred but not required
  • Ability to work efficiently, independently and collaboratively
  • Detail oriented
  • Strong organizational skills
  • Ability to work with a diverse group of individuals
  • Experience working with or for people with disabilities preferred
  • Ability to multi-task
  • New York State Driver’s License

Working Conditions

A Support Specialist usually performs work in an office environment, but the mission of the organization may sometimes take a Support Specialist to non-standard workplaces.  This position is based in Albany, NY, Rochester, NY, or Brooklyn, NY.  A Support Specialist will be expected to travel within and outside the state as necessary.

 

Salary: DOE, with excellent benefits.
