Executive Admin- National Sales - Napa, CA, US

JOB STATEMENT: To assist BWC National Sales Manager and Support for Sales Team

Essential Duties:

  • Prepare and answer E-mail
  • Answer telephones in a professional manner
  • Maintain National Sales roster
  • Maintain and order Wine samples as needed
  • Maintain Sales, Distributor and Retail Chains map
  • Maintain Distributor list by state through updates from Sales Managers
  • Manage and prepare agendas, layouts, hotel reservations to facilitate and organize meeting arrangements for annual sales meetings & new hire orientation meetings at least 2x per year
  • Work with local hotel and catering companies to facilitate and set-up annual sales meetings and new hire orientation sales meetings
  • Collaborate with other office staff for annual WSWA Convention, ECRM. Prepare agenda, organize Distributor meetings and order all POS and wine samples utilizing IFS system
  • Approve bill back invoices for Managers signature
  • Order supplies, business cards and POS items utilizing IFS system
  • Initiate purchase orders & purchase requisitions in IFS
  • Maintain and manage wine inventory for sales office display cabinet
  • Assist with occasional events a BTQC
  • Assist ownership when at our facility for meetings
  • Other special projects as assigned by our National Sales Manager
  • Manage and prepare sample orders for the National sales team
  • Create and maintain Supplier New Item Registry (SNIR) for all National Brands utilizing Distributor Portals for RNDC (Republic National Distributor Company and SGWS (Southern Glazers Wine and Spirits)
  • Manage, prepare and order samples for upcoming Wine Competitions utilizing IFS and working with shipping company, AERO, to ensure prompt submission
  • Compile and submit expense reports for National Sales Manager
  • On and off boarding SOP. Manage and maintain key department components for, i.e. DIVER, Seven fifty account creation, business cards, etc.
  • Collaborate with other staff to ensure accuracy on brand sell sheets
  • Compile, manage and maintain running lists for National Sales team
  • Perform other duties as assigned by any Manager or Supervisor

JOB REQUIREMENTS:

Education/Experience:

  • Computer literate
  • Windows and Microsoft Office software (Word, Excel, Outlook, PowerPoint)

Knowledge of:

  • Products
  • Order Entry
  • Computers and Microsoft Office

Ability to:

  • Communicate with customer and office staff
  • Work under pressure
  • Be able to operate with proficiency basic office equipment (telephone, fax, copier, multi-line phone, etc.)

PHYSICAL REQUIREMENTS:

  • Sit for an extensive period of time
  • Perform tasks using standard computer equipment
  • Able to lift 40lbs

WORK ENVIRONMENT:

  • Limited noise level
  • Indoor climate

PERSONAL PROTECTIVE EQUIPMENT REQUIRED:

  • Side shield safety glasses, safety vest, head/ear protection and proper footwear when in production facility
