Conference Sales Manager

To serve as a lead point of contact for conference and meeting-based business at Jay Peak Resort.

Working closely with internal and external stakeholder groups to the facility.

Oversee all aspects of Conference business on a year-round basis.

Will require a coordinated effort to balance the needs of conference business segment with all types of business offered, and the types of facilities offered at the resort.

To serve as a liaison between Conference & Meeting clients and the Resort. Act as an initial point of contact for clients, for all lodging, F&B, special events and extra needs.

To coordinate all aspects of Conference Sales business at Jay Peak Resort, on a year round basis.

Responsible for directing the communication process between Conference Sales and other internal stakeholders

Position also requires management of CRM and understanding of on-campus event room and lodging inventory.

Workflow and Functions:

  • Assist the Director of Resort Sales in the development of the conference & meeting sales plan
    • Goals include: sales calls, number of bookings, room nights, dollar volumes, etc.
  • Develops strategic and tactical plans for achieving aforementioned sales goals
  • Manage and update procedures and guidelines for the service fulfillment of clients
  • Assist in the hiring of conference service coordinators.
  • Annual review of training and procedures manuals, keeping all current
  • Be involved in new employees training for the department
  • Review all conference sales materials on an annual basis, to keep current
    • Create special offers as needed to help drive business levels.
  • Assist in the review and setting of rate structures for conference event space, services and lodging
  • Establish and maintain relationships with local vendors and rental companies
  • Participate in the banquet menu creation with the Executive Chef and F&B Director
  • Participate in the Banquet beverage menu creation with the F&B Director
  • Establishes and maintains an Account Management System of potential clients with plans for outreach to this database.
  • Effectively uses contact management and catering software to monitor, analyze and communicate sales data
  • Conducts follow up on sales leads (internal, external)
  • Solicits new business through prospecting, cold calls, telephone solicitation, outside sales calls, third party organizations (CVB, MPI, Chambers of Commerce, lead firms, etc.), trade shows and sales missions
  • Establishes client base of organizations, associations, social groups, and corporate businesses through direct outside and inside sales
  • Develop and nurture relationships with key clients/partners in order to produce corporate meeting and conference/convention business.
  • Ability to adapt to regional and national competition and trends in the industry
  • Effectively uses written and verbal communication to manage information flow from sales department to other resort departments to ensure necessary information received by all departments in a timely manner; this includes booking notices, group rooms count reports (GRC) and BEO's as needed
  • Writes clear and comprehensive group contracts that will secure reservation of all spaces and functions, including billing information and deposit instructions and avoids possible misunderstandings
  • Attend and represent Jay Peak Resort at trade shows and conventions.
  • Ability to effectively communicate with internal and external stakeholder groups.
  • Forecast and accurately record and all bookings and cancellations.
  • Establish a booking pace expectation for the position as well as others in the conference service department
  • Conduct tours of the resort lodging and banquet facilities; entertains qualified potential clients in accordance with company and property policies and procedures.
  • Maintains awareness of all activities at the resort to promote sales and ensure proper communication to clients, including those activities that may impact already booked conferences
  • Attends pre-conference meetings with client and JPR staff to review specifics of group functions
  • Maintains active client contact during the course of conference
  • Reviews customer comments/complaints with staff involved
  • Ensure proper communication with groups prior to arrival
  • Responds quickly to guest requests in a friendly and professional manner.
  • Conducts post-evaluation with clients, prompt follow-up to ensure guest satisfaction.
  • Ensure proper delivery of service to groups encompassing all facets of their needs.
  • Be present for the group contact when needed during a conference
  • Ensure return business
  • Develop , maintain and grow relationships with regional and national meeting planner organizations, securing membership in related professional associations
  • Generates weekly sales reports to Director of Group Sales and VP of Sales and Marketing
  • Manage group yield management practices that will optimize revenue for all on-site lodging products with an emphasis on the two hotels
  • Business attire is required on a daily basis. Formal attire as needed per event.
  • Maintain a professional image at all times through appearance and dress.
  • And other tasks as assigned by upper management

Position Requirements

Abilities and Requirements:

  • Well developed interpersonal skills
  • Well developed Sales/negotiating abilities
  • Strong attention to detail
  • Candidates with Meeting Planners International (MPI) certifications, such as CMP, or Hotel Sales and Marketing Association International (HSMAI) certifications will have preference.
  • Computer Skills, including but not limited to Microsoft WORD, EXCEL, Powerpoint, CRM software, Lodging and Catering software
  • Planning and organizational abilities.
  • Minimum of 4 years of Catering and Sales management
  • Experience in high volume Conferences
  • Knowledge of Audio Visual equipment
  • Strong understanding of banquet services and organization
  • Good knowledge of food and beverage capabilities
  • Ability to travel off resort for day or overnight Sales missions.
  • Ability to speak comfortably in front of large groups of people.
  • Ability to stand for long periods of time, during sales shows and meetings, as needed.
  • Must be flexible and able to adapt to a fast paced environment.
  • Ability to make decision within the parameters of the job description is a must.
  • Ability to work weekends and holidays.
  • Ability to work evenings as needed
  • Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference and volume. Ability to interpret numbers on financial statements and contracts and the relationship between line items. Ability to apply concepts of basic algebra and geometry.
  • Daily handling of cash, checks, credit cards and in-depth understanding of cash-out procedures
  • Ability solve guests issues on a daily basis
  • Ability to work closely with all internal stakeholders groups including but not limited to:
    • Food & Beverage
    • Central Reservations
    • Group Sales
    • Golf Course
    • Housekeeping
    • Building Maintenance
    • Mountain Operations
    • Hotel Management and front line staff .
    • Water Park
  • Certification and/or License Requirement: Alcohol awareness certification as required by local or state government agency.
  • Ability to lift up to 50 lbs on a regular basis
  • Must have a valid driver’s license

Reporting Structure

  • Reports to Director of Resort Sales


  • No direct supervisory role
    • Has a dotted line to the Conference Services Coordinator


  • Minimum of 4 years of Catering and Sales management
  • College degree (preferably in English, Liberal Arts, Communications, Business)
  • Understanding of budget accounting, finance reporting
  • Functional understanding of MSWORD, Excel and Outlook
  • Knowledge and functional understanding of lodging reservation systems a huge plus
  • Functional understanding of customer relationship management software.
  • Bilingual abilities preferred.
