Each year, the agency's continuum of care and its 300+ professional staff help thousands of youth and their families achieve resiliency, dignity, and self-sufficiency. We operate therapeutic group homes, a treatment foster care program, and family help center located in Baltimore City, Baltimore County, Anne Arundel County and Prince George County. We also service students in our nonpublic special education programs in Baltimore City and Prince George's County. The Children's Guild also operates public charter schools located in Anne Arundel and Baltimore City and will open our first DC charter school in September, 2015. Description

THE CHILDREN'S GUILD, INC.

General Job Description: Responsible for overall administrative services of the campus. Assure regulatory compliance and accountability of the campus in the absence of the Principal.

Academic Preparation and/or Experience: Minimum of a Bachelor's Degree and 5 years of experience in a related field. The job duties require strong organizational skills, clerical skills, public relations skills, strong project management skills, and a high level of computer and software proficiency.

Accountability: The School Business manager r reports to the school Principal. The Business Manager administratively supervises clerical (and office staff), records specialist, and Campus Operations.

Skills/Responsibilities:

Key Result Area #1: Tone and Vision

This KRA is successfully completed when:

a. Assure that the established culture is consistent with the overall philosophy
and mission of the organization.

b. Personal modeling in a manner that is consistent with the overall philosophy
and mission of the organization.

c. Ability to work well in a highly visible role with support, professional, and executive personnel, both internal and external to The Guild.

Key Result Area # 2: Systems Integration

This KRA is successfully completed when:

a. Assure systems for efficiency and effectiveness in the areas of bus transportation, office management (including office supplies purchasing), related services auditing, chart audits, budget management and facilities management.

b. Responsible to observe and identify potential risks to all students, staff and
visitors due to building/environmental deficiencies.

c. Student records are maintained in a timely and organized manner.

d. A system for successful transition to and from school on the bus is in place.

e. Coordinate resolution to bus incidents (referrals and reinstatements) with clinical staff.

Key Result Area #3: Administration and Supervision

This KRA is successfully completed when:

a. Prepare and oversee budgets, purchases, and requisitions in conjunction with the Principal and the VP of Educational Services.

b. Fulfill all administrative support duties: correspondence, filing, mail, receptionist, preparation of documents, preparation for professional development trainings, mailings, etc.

c. Prepare performance appraisals and assure compliance with Agency
expectations and guidelines for Nurses, Psychiatrists, Clerical and office staff, Records Specialist, Receptionist, and Campus Operations Manager in consultation with the Principal and the Director of Clinical Services.

d. Bus scheduling, coordination of transportation services, coordinating bus referrals with clinical staff, interfacing with operations on facilities, health and safety, and nutrition are monitored and problems associated with these areas are addressed and resolved.

d. Serve as liaison to Human Resources.

e. Assure accuracy of attendance records and class lists.

f. Address personnel issues related to school staff in consultation with the Principal and/or Director of Clinical Services as needed.

g. Serve as liaison to the Compliance & Credentialing Coordinator and Director of Admissions.

h. School hospitality to include food service and set-up for events, tours and school activities.

Key Result Area #4: Regulatory Compliance

This KRA is successfully completed when:

a. Oversight of all compliance issues related to educational, clinical and
operational activities is provided.

b. Working knowledge of MSDE regulations.

c. Assure accuracy of enrollment on class list.

d. Monitor and assure accuracy of attendance records and student food counts.

e. Program is operating in compliance with all relevant regulatory agencies
100%.

Key Results Area # 5: Audit Management/ Quality Improvement

This KRA is successfully completed when:

a. Monitor program budget and meet the program needs within the budget assumptions.

b. Continuous Quality Improvement reports are accurate and submitted to the Principal in accordance with the established timeline.

c. Monitor budget and compare expenditures to monthly report.

d. Fire drills need to meet regulatory mandates and should be documented.

e. Performance evaluations must be completed on time and include the staff that is being evaluated.

f. Physical Plant and school environment reflects the Children's Guild's philosophy and values.

g. The food service program is managed according to the regulations that govern it and the Guild's values and philosophy.

h. Approve all purchases under $1,000.00 under Operation's budget.

i. Budgets are developed and monitored for vehicle purchase and maintenance, building supplies, maintenance costs, equipment purchase and repair costs, office supplies, office furniture etc.

j. Deployment of Emergency Response Manual.

Key Result Area #6: Facility Management

This KRA is successfully completed when:

Oversee all aspects of facilities to include:

a. Building security
b. Equipment purchases and maintenance up to $1,000.00.
c. Environment services
d. General maintenance

e. Food service

f. Transportation

Key Result Area #7: Workplace Conditions:

This KRA is successfully completed when:

a. Participate in (the Team Primacy Model.)culture card meetings daily.

b. Participation in agency activities.

c. Weekly participation in the school Administrative Team meetings.

Key Result Area #8: Other Duties

This KRA is successfully completed when:

a. Liaison with landlords.

b. Acts as receptionist and is in charge of hospitality.

c. Provide administrative support to the Principal and members of the administrative team.

d. Demonstrates understanding of the philosophy of The Children's Guild.

e. Carries out tasks assigned by the Principal in a timely and efficient manner.

f. Perform all other duties as assigned.
