The Executive Assistant to the Director provides a high level of executive support to the Director of the Academy Museum. The incumbent manages the affairs of the Office of the Director, including but not limited to prioritizing and juggling multiple deadlines, commitments, and projects. The Executive Assistant screens, sorts, and responds as appropriate to a high volume of telephone, written, and email communication; assists with any needs or requests from Board members, donors, and VIPs, including leading and coordinating preparation of all materials for Board meetings; represents the Director’s Office to both staff and external constituents with a high degree of efficiency and poise; implements and streamlines office procedures and maintains files; and may coordinate the Director’s calendar, internal and external appointments, and meetings. Normal working hours are 9:00am – 6:00pm, but flexible schedule is required.

Reports to: Director of the Museum

Duties and Responsibilities:

  • Organizing, routing, and responding to e-mail, phone, and physical messages
  • Prepare Board of Governors pre-meeting books and take meeting minutes
  • Communicating on behalf of Museum leadership with vendors and partners; advocating for the Museum as appropriate
  • Schedule and coordinate arrangements for various appointments, meetings, and conference calls
  • Drafting written communications; editing and improving text written by others
  • Making phone calls and following up on outstanding issues
  • Providing resources for in-house and external meetings
  • Coordinating travel plans and logistics
  • Scanning, copying, and printing as needed
  • Maintaining electronic records
  • Assisting with a variety of Museum programs
  • Other duties as assigned.
 
Position Requirements

The successful candidate will have both administrative and operational experience in a museum or similar organization. Specifically, we are seeking:

  • 3-5 years’ experience working as an executive assistant to a high-level executive, experience supporting C-suite level preferred
  • Bachelors degree preferred
  • Ability to work independently and follow through on all assignments with minimal direction is required
  • Ability to handle multiple tasks and deadlines and work with a fluctuating and dynamic schedule
  • Excellent communication skills and a polished and professional demeanor to interact graciously and effectively with donors, Museum trustees, corporate heads, and diverse individuals, as well as with Museum staff
  • Ability to discreetly and tactfully recognize and handle sensitive and confidential information
  • Exemplary writing and proofreading skills
  • Proficiency with Microsoft Outlook, Excel, and Word; advanced skills in creating charts, graphs, and tables.
