Pine Rest’s Clinical Systems Analysts are responsible for facilitating the use and continuous improvement of the Electronic Clinical Record (ECR) and Practice Management (PM) system, as well as related software programs, in order to maximize its effective use to meet organizational objectives. This position will oversee all activities related to electronic clinical/medical record (ECR/EMR) and practice management including support, upgrades, user access, testing, documentation, implementation and training. In addition, the Clinical Systems Analyst will ensure the organization’s compliance with regulatory guidelines. Duties are performed in accordance with Pine Rest’s policies and procedures following the organizational standards for ethical business conduct. The Clinical Systems Analyst is seen as a positive role model and team member and participates in committees, meetings, in-services, and activities. The following are general characteristics of this job classification. Specific duties and areas of responsibility for this position within each department shall be defined by the department manager or director.

Principal Duties and Responsibilities include, but are not limited to:

  • Assist with and in some cases lead all aspects of the implementation of new functionality and upgrades related to ECR/EMR.
  • Works collaboratively with clinicians, managers, and staff to identify and redesign areas for improvement in ECR and PM process and workflow.
  • Take an active role in developing and implementing education/training programs related to ECR/EMR.
  • Uses project skills to execute ECR and PM enhancements and problem solving and critical thinking skills to develop solutions to identified problems.
  • Provide ongoing building and development of the ECR to meet clinical documentation needs.
  • Understands requirements for regulatory governance and Pay for Performance programs and provides guidance to the ECR Oversight team as to how they impact system use.
  • Create policies and procedures for ECR and PM processes and workflows.
  • Develops and conducts training and orientation providing tools and resources to users.
  • Provide support and on the job coaching and mentoring for users.
  • Attend staff meetings and in service education programs as requested.
  • All other duties as directed.
  • Analyze and verify requirements for completeness, consistency, comprehensibility, feasibility, and conformity to standards.
  • Develop and utilize standard templates to accurately and concisely write requirements specifications.
  • Translate conceptual user requirements into functional requirements in a clear manner that is comprehensible to stakeholders and developers.
  • Create process models, specifications, diagrams, and charts to provide direction to developers and/or the project team.
  • Develop and conduct peer reviews of the business requirements to ensure that requirement specifications are correctly interpreted.
  • Assist with the interpretation of user requirements into feasible options, and communicating these back to the business stakeholders.
  • Manage and track the status of requirements throughout the project lifecycle; enforce and redefine as necessary.
  • Communicate changes, enhancements, and modifications of business requirements– verbally or through written documentation – to project managers, sponsors, and other stakeholders so that issues and solutions are understood.
  • Monitor the selected technology over the product lifecycle to ensure it continues to meet stakeholder’s needs.
  • Implement change management processes to updates and enhancements.
  • Ensure technology solutions are kept in a supportable model.
  • Maintain up to date documentation.
  • Work collaboratively with other IS team members in supporting the technology.
  • Provide guidance and/or instruction to staff members.

 
Position Requirements

Education, Training, and Experience:

  • College diploma or university degree in the field of healthcare, business, computer science, or information systems and three to five (3-5) years’ of work experience in a healthcare setting. Bachelor’s Degree or above is strongly preferred.
  • Experience with Epic or Meditech ECR and ECR/PM or other similar products is required.

Specific skills, knowledge, and abilities:

  • Clear understanding of medical terminology and medical documentation is required. If not already obtained,
  • Has practice workflow knowledge; clinical electronic documentation and practice management knowledge.
  • Ability to create systematic and consistent requirements specifications in both technical and user-friendly language.
  • Exceptional analytical and statistical skills with the ability to apply them to systems issues and products as required.
  • Clear understanding of product management, including planning, organizing, and managing resources
  • Understands and embraces Agile Project Management methodologies.
  • Understanding of application development and software development life cycle concepts.
  • Working knowledge of network and PC operating systems
  • Excellent analytical, mathematical, and creative problem-solving skills.
  • Excellent listening, interpersonal, written, and oral communication skills.
  • Experience working in a team-oriented, collaborative environment
  • Ability to effectively prioritize and execute tasks while under pressure.
  • Strong customer service orientation.

About the Organization Pine Rest is a nonprofit, free standing, behavioral health system founded in 1910 in Grand Rapids, Michigan. This comprehensive behavioral health center, coupled with the Pine Rest network of 19 outpatient clinics and satellite offices in Michigan and Iowa, provide individualized and group therapy for people of all ages and all levels of need. Pine Rest clinicians offer therapeutic services in behavioral health for people of all ages and all levels of need across the continuum of care within a Christian framework.

Pine Rest has a 200-bed inpatient hospital program with a 36-bed child and adolescent inpatient and a large partial hospital program for adolescents. Additionally, Pine Rest has many inpatient services for adults, including: a 28-bed psychiatric-medical unit in an acute care hospital, four 22-bed adult inpatient units each designed for a different level of acuity, a 22-bed co-occurring substance use disorder adult inpatient unit, a large adult partial hospital program, and a 26-bed older adult inpatient unit.

The Pine Rest Community and Residential Services Division also provides a wide array of services. With over 220 residential beds across a variety of programs, including treatment for substance use disorders, homes for adults with intellectual and developmental disorders, adults with mental illness, and a program for youth aged 11-18 with extensive trauma histories focusing on trauma treatment and life skills programming.

Other campus based services include a forensic psychiatry clinic, a psychological consultation testing center, an attention deficit disorders clinic, an autism spectrum disorders clinic, and a large neuromodulation clinic which provides TMS and ECT services.

The medical staff includes over 70 psychiatrists and other MDs/DOs, more than 120 fully licensed psychologists, more than 250 licensed masters-level social workers, and 30 PAs/NPs.
