Wedding Services Coordinator - Seasonal

To sell destination and regional weddings for Jay Peak Resort, maximizing
opportunities for additional events during a wedding weekend. Responsible for coordinating
all wedding sales and related buisness by performing the following duties.

Essential Duties and Responsibilities include the following. Other duties may be assigned.

  • Meet with prospective wedding couples for meetings and site inspections.
  • Determine and confirm availability of event space, lodging, and food and beverage needs.
  • Offer and promote additional resort products and services such as ice time rental, curling, golf, waterpark parties, guided hiking, additional private events, gift creation, shuttle services, etc.
  • Communicate food and beverage capabilities for the resort, from private functions to dining outlets.
  • Create proposals based on needs, interests and expectations of the wedding couple encompassing all facets of the resort.
  • Close sales and all aspects of sales management.
  • Write multi-layered contracts and agreements covering all aspects of a wedding/wedding weekend.
  • Attend regional bridal shows.
  • Seek out online and traditional publications for promoting weddings at Jay Peak Resort.
  • Work closely with Director Of Sales to coordinate tracking and payment, and to implement wedding prodcut and pricing updates on an annual basis.
  • Work closely with Group Sales Destination Coordinator to update the destination forecasting template as needed.
  • Work closely with the Lodging Reservation team when coordinating call-in method weddings.
  • Participate in weekly Group Impact Meetings and BEO Meetings, addressing issues and concerns for stakeholder groups relative to the wedding segment.
  • Daily use of Catering and CRM software to book event space and create BEO's.
  • Work closing with lodging office and Day Group Sales Coordinator to confirm availability and book lodging.
  • Prepare and review sales receipt to ensure accuracy of all departmental back-up.
  • Prepare all necessary purchase order and/or miscellaneous slips to ensure proper billing and confirms that the sales receipt reflects all contractual agreements.
  • Follow standard billing procedures to ensure entire amount of sale is received by collecting payment in advance for the entire amount and collecting payment for any charge incurred on the day of the event by the end of the event, in conjunction with established billing policies and procedures.
  • Be on site to execute assigned weddings.
  • Align event specification (hotel rooms/function space) with the physical structure of the Resort to ensure a successful event.
  • Monitor room block fill and adjust specification as needed to meet the needs of the client and the resort.
  • Daily handling of cash and cash-out procedures and daily ticketing of groups, returns and adjustments.
  • Act as a Customer Service representative to solve guest issues on a daily basis.
  • Other duties as assigned by supervisor, which could be directly related, or unrelated to original position.

Education and/or Experience
Associate's degree (A. A.) or equivalent from two-year college or technical school; or six
months to one year related experience and/or training; or equivalent combination of
education and experience.

Language Skills
Ability to read, analyze, and interpret common scientific and technical journals, financial
reports, and legal documents. Ability to respond to common inquiries or complaints from
customers, regulatory agencies, or members of the business community. Ability to write
speeches and articles for publication that conform to prescribed style and format. Ability to
effectively present information to top management, public groups, and/or boards of directors.

Mathematical Skills
Ability to work with mathematical concepts such as probability and statistical inference,
and fundamentals of plane and solid geometry and trigonometry. Ability to apply concepts
such as fractions, percentages, ratios, and proportions to practical situations.

Reasoning Ability
Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability
to interpret an extensive variety of technical instructions in mathematical or diagram form
and deal with several abstract and concrete variables.

Computer Skills
To perform this job successfully, an individual should have knowledge of Internet software;
Spreadsheet software, Word Processing software, and Sales and Catering software. Previous
experience with a CRM database software preferred.

Certificates, Licenses, Registrations
Must hold a valid State of Vermont Driver's License and be eligible for enrollment as a
driver on Jay Peak Resort's Commercial Automobile policy.

Other Skills and Abilities
Ability to speak comfortably in front of large groups of people.
Ability to travel long distances, for day or overnight Sales missions.

Other Qualifications
Must be flexible and able to adapt to a fast paced environment.
Ability to work weekends, holidays and evenings as needed.

Work Environment The work environment characteristics described here are representative
of those an employee encounters while performing the essential functions of this job.

the essential functions. While performing the duties of this Job, the employee is occasionally exposed to high,
precarious places; fumes or airborne particles; outside weather conditions; extreme cold and
extreme heat. The noise level in the work environment is usually moderate.

Resort Conditions

This is a Winter Resort Area. It requires that work venues are varied,
and in many cases include steep stairways, multi-level buildings and outdoor work areas,
subject to very cold, sometimes wet or very sunny work sites. Some facilities are located at
the base or bottom area and some are semi-remote and can only be reached by traveling via
chair lift(s), skis or snowboards. Walking surfaces are frequently frozen, sloped and
slippery. Proper footwear is a must, indoors and out. Work days and hours, as well as the
number of hours required will vary, with an emphasis on weekends and holidays.
