Description

JOB SUMMARY:

The Executive Assistant provides support to the Executive Director and the Board of Trustees, and aids in improving the communications efforts of Catholic Charities both internal (communications between Divisions and Central Administrative Services) and external (telling the story of Catholic Charities).

 

DUTIES AND RESPONSIBILITIES:

  • Coordinate efficient and effective flow of all information and correspondence to and from the Executive Director’s office.

 

  • Schedule meetings, assist in preparation of presentations and handle preparation for regular meetings.

 

  • Edit and/or write drafts of Executive Director’s correspondence, report and newsletter messages, and presentations.

 

  • Attend quarterly Board of Trustees meetings and take minutes, prepare meeting notice packets and other mailings, coordinate collection and distribution of reports to Board of Trustees from Board committees and County boards, and provide support to Board chair.

 

  • Staff Executive and Planning Committees of Board of Trustees and Leadership Team meetings, take minutes, prepare agenda and send meeting notices.

 

  • Prepare and monitor Executive Office (110) and BHS (115) budgets.

 

  • Maintain agency By Laws, Certificate of Incorporation, and Organization Chart.

 

  • Plan and coordinate Leadership Retreat, Board Retreat, Annual Agency-Wide Christmas Open House and CAS Employee Recognition Event(s).

 

  • Assist /support Compliance Director & Director of Operations on an as needed basis.

 

  • Supervise Office Assistant role and duties and all interdepartmental work collaborations. (NEW)

 

 
Position Requirements

REQUIREMENTS:

Associates Degree Required. Five years of office management experience. Excellent organizational skills.  Proficiency in use of Microsoft Office Suite. Writing and editing skills.
